Soils for Life is Australia’s leading non-profit organisation supporting Australian farmers to regenerate soils and landscapes to build natural and social capital and transform food systems. We are seeking an Operations Coordinator to support our multi-disciplinary team. The role is responsible for overseeing a range of operational and administrative functions in order to ensure an efficient, smooth-functioning and constantly improving organisation that is set up for impact. The successful candidate will be a great team player, a capable communicator, and highly proactive, independent, reliable, efficient and organised.

The Operations Coordinator will be an integral member of the Soils for Life team, reporting to the CEO and working closely with the Management Team and all staff.

Specific Tasks

Coordinate Soils for Life’s operational and administrative work with minimal supervision:

  • Leading and coordinating the development, management and implementation of organisational procedures and policies.
  • Managing a range of administrative functions, including general office management, office equipment and supplies, and lease arrangements.
  • Overseeing finance and budgeting processes and policies, including invoices, suppliers, credit card reconciliation and payroll, and liaising with and providing information to the external accountants.
  • Managing office IT and business systems such as email, file management, internal messaging (Slack) and task management (working with external providers as required), online subscriptions and equipment purchases.
  • Coordinating HR processes including the recruitment and on-boarding of new staff, compliance of registrations, licensing and insurance, and updating internal staff guidance documents.
  • Supporting team travel as needed (working with external travel agent), including managing an organisation-wide calendars.
  • Provide a welcoming first point of contact for people reaching out to the organisation; and monitoring the organisational email inboxes, screening telephone calls, fielding inquires and requests and escalating urgent matters for the Management Team.
  • Supporting the team to make simple updates to the website.
  • Engage with the management team to discuss, identify and support ways for the team to work together more effectively over time.
  • Support the Management Team with Board meetings preparations, invitations and documentation.
  • Provide operation support for program activities as required such as events and video conference as required.
  • Other tasks as directed by the CEO.

Selection criteria

  • Demonstrated ability and experience to deliver operational and administrative functions as outlined above, including managing budgets and financial reporting.
  • Strong interpersonal, communication and collaborative skills and the ability to support other staff.
  • Excellent organisational skills and attention to detail.
  • Ability to work autonomously, employ initiative to find solutions, prioritise and exercise discretion.
  • Excellent capability with IT systems, with specific experience with Wordpress, and Microsoft 365 and/or Google Workspace preferred (but not essential), and the ability to adopt and support others to adopt new systems over time.
  • Ability to liaise with senior staff and to work under pressure.
  • Ability to contribute to a positive, constructive, inclusive, safe and healthy workplace and organisational culture.
