Where you come in:

In this permanent, 0.8 FTE role (hours to be spread over 4 or 5 days per week, depending on your preference), you'll ensure accurate and efficient administrative, secretarial and general support is provided to all members of the department in a proactive and professional manner at all times. As part of our WA/NT state admin team, you'll report directly to our Operations and Business Support Manager.

You will make an impact by:

  • Providing high level administrative support, such as booking rooms internally and externally, arranging various technologies for online meetings, organising travel logistics
  • Coordinating events to support the team, such as training sessions, team away days and regional and yearly events, including catering and travel logistics
  • Assisting with report writing, budget management, procurement activities and financial deadlines
  • Ensuring all filing and information-sharing systems are kept up to date
  • Seeking improvement in operational processes of the department
  • Maintaining common areas, including reception, boardroom, kitchen, archives, noticeboards and storeroom
  • Handling all Information Technology queries / issues in State Offices

Your excellent organisation and administration skills, alongside your analytical instincts, will see you drive the delivery of quality outcomes within strict deadlines. You'll build strong relationships with internal and external stakeholders enabling the reach of productively of our programs to flourish. You're able to plan and prioritise work, and are flexible and self-motivated to provide ranging support to see the team succeed. Importantly, you'll work effectively with other state office coordinators to ensure smooth continuation of programs, and you pride yourself on your integrity and confidentiality.

This role requires:

  • Exceptional customer service focus
  • Prior experience in a client facing, reception and/or administrative role
  • Computer literacy skills and ability to swiftly learn new systems
  • Knowledge/experience in Workplace Health and Safety within an office environment
  • Certificate/Diploma in Business Administration, PA/Secretarial studies, or Customer Service highly desirable
  • The ability to travel if required to do so
