We're looking for a backstage champion! We need your amazing organisational skills and keen eye for detail to support the work we are doing here in Australia and around the world. Working on a variety of projects and liaising with a diverse range of stakeholders, often remotely, no day will be the same in this challenging role. Your administration and coordination support will ensure our International Programs (IP) and Policy, Advocacy & Public Affairs (PAD) teams can continue working effectively and efficiently to make the world a better place for children.

Where you come in:

In this part-time fixed term position (3-4 days per week for up to 12 months), based in *Carlton, you'll provide a range of administrative support including training and event coordination, finance, travel bookings, consultancy onboarding, and other general administrative assistance. You will be part of our Asia Development Programs & Strategy team and report to our Acting IP and PAD Support Manager.

You will make an impact by:

  • Providing high quality administrative and general office support to our IP and PAD departments
  • Managing all aspects of consultant contract agreements as required by the departments
  • Proactively managing invoices and financial matters
  • Coordinating onboarding requirements for new starters including maintaining up‑to‑date induction information packs
  • Providing strong event coordination support including training sessions, team planning days, and regional events

Your exceptional organisation and administration skills, complemented by your calm, flexible approach to working with people, will enable you to support key processes within strict deadlines. You are self-motivated with strong prioritisation skills and are easily able to work with people from a wide variety of backgrounds to enable the team to succeed.

This role requires:

  • Demonstrated experience in a similar role
  • A proven ability to provide exceptional customer service to both internal and external stakeholders
  • A demonstrated track record of building rapport and relationships across different teams and remotely
  • Well developed verbal and written communication skills, and the ability to handle sensitive information confidentially
  • Strong time management and organisational skills including the ability to work effectively under pressure
  • Strong typing and computer literacy skills (e.g. word processing, spreadsheets, databases) and high levels of attention to detail

*While COVID-19 social distancing restrictions are in place, this role works remotely (i.e. from home or an alternative location). Once the pandemic restrictions are lifted, the role will be based in our office in Carlton.
