We are an independent organisation with approximately 700 trusts, foundations, organisations, families, individual donors, professional advisers, intermediaries and not-for-profits as our membership. Philanthropy Australia was established 40 years ago by several Melbourne based foundations. Today, we have offices in Sydney, Melbourne, Adelaide, Perth and Brisbane.

Philanthropy Australia is governed by a Board, with members elected for three-year terms. These members work as ambassadors for the organisation as well as fulfilling the statutory requirements of a Board. Philanthropy Australia is also supported through a group of Philanthropy Champions who provide significant financial and pro bono support on an ongoing basis.

Our role is to support the philanthropic efforts of Philanthropy Australia’s membership, and this is achieved through:

  • Leading and representing the philanthropic sector;
  • Promoting the contribution of philanthropy by increasing understanding in the community, business and government;
  • Inspiring and supporting new & emerging philanthropists;
  • Increasing the effectiveness of philanthropy through the provision of information, professional development, resources and networking opportunities; and
  • Promoting strong and transparent governance standards in the philanthropic sector.

TERMS: 0.4 FTE; $90k-$95k FTE + Super

LOCATION: Melbourne preferred but open to the right candidate from Sydney

ROLE PURPOSE

The Salesforce Administrator will ensure that the organisation is maximising efficiency and capitalising on the full features and benefits of Salesforce based on the various internal user group needs. This includes, but is not limited to, system maintenance, integration management, data maintenance, data processing (including membership, leads and events) and reporting as required.

Using both technical and communication skills, the role will be required to interface directly with internal stakeholders to understand their needs to administer and enhance the system accordingly. This role will serve as the "go to" for key internal stakeholders, promote adoption, keep current on new releases and provide training and support.

KEY RESPONSIBILITIES AND CAPABILiTIES

This role is responsible for the overall management, maintenance, and improvement of Salesforce including:

Create and Manage Changes to the Platform

  • Proactively seek out and identify needed system changes to improve work-flow efficiency, work practice, security, data and/or reporting.
  • Manage system changes, including management of new releases, with minimal interruption, positive adoption and consistent communicate system changes.
  • Manage all processes that impact / relate to Salesforce.
  • Create and maintain fields, views, reports, dashboards, work-flows, campaigns and other salesforce.com objects and functions, including customisation when necessary
  • Maintain, enhance and create workflows, functions and configurations within the Salesforce.com environment.
  • Create new reporting capabilities and respond to ad hoc reporting requests as needed.

Maintain System, Security and Integrity

  • Manage Salesforce security including user licenses, roles, profiles, sharing rules, workflows and groups.
  • Reassign Accounts, Contacts, and Opportunities in response to personnel changes.
  • Monitor application storage usage and archive data as needed.
  • Manage and monitor data backup and restore data as required.

User Assistance, Training, Adoption and Satisfaction

  • Create and administer training to existing or new users/groups; may include end-user guides.
  • Provide one to one training to end users on an as-needed basis, to ensure positive adoption and best use of the platform.
  • Expand use of Salesforce.com – attend planning meetings, assist with determining if / how salesforce.com can be used in new ways.
  • Assist key stakeholders to create processes in salesforce.com to help monitor activities, trends, campaigns, opportunities and leads.
  • Communicate regularly with stakeholders regarding new features, enhancements, and changes to the system.
  • Continually seek ways to further enhance the end‐user experience.

Process Creation, Documentation and Maintenance

  • Overall management of membership data processing, including data-control.
  • Document internal processes and workflows.
  • Develop process documentation and field maps.
  • Create new processes and associated reporting.
  • Change control/audit records for system upgrade/modification.

Data Quality, Integration, Migration and Maintenance

  • Maintain database for integrity and accuracy including cleansing and duplicate record management.
  • Complete bulk imports of data using the data loader.
  • Monitor dormant/orphaned Opportunities, Accounts, and Contacts as appropriate.
  • Monitor and manage exception logs for back-end system integration with Salesforce.
  • Ensure data integrity by merging duplicate Contacts, and Accounts; performing mass uploads and updates of data as required.
  • Retiring unnecessary fields and data; ensuring screens, fields and workflow have accurate names and reflect current workflow.
  • Make recommendations on improvements to data management processes for both efficiency and data integrity gains.

Report and Dashboard Creation and Maintenance

  • Create and maintain dashboards.
  • Create and maintain reports including folder maintenance.
  • Support Marketing and Communications team with contacts for direct email marketing campaigns
  • Support membership activity by performing member segmentation and extraction, tracking results and contributing to performance analysis.
  • Develop detailed reports to summarise system information for Senior Management and Board.
  • Liaising with finance team to ensure accurate, consistent and timely reporting of figures for reconciliation and reporting.

KEY SELECTION CRITERIA AND CAPABILITIES

ESSENTIAL

  • Salesforce certified administrator
  • Two+ years related experience with Salesforce Lightning (setup and configuration) including utilisation of Salesforce platform.
  • In‐depth knowledge of the capabilities of Salesforce and have successfully expanded on those capabilities using custom code and/or integration with external systems.
  • Strong data management and reporting background using Salesforce reporting tools including standard salesforce.com reporting functionality.
  • Broad knowledge of IT processing systems, concepts, and methodologies.
  • Strong ability to mitigate risks to database security and risks arising from loss of data.
  • Self-motivation with excellent time management and problem-solving skills, in particular, ability to prioritise, and coordinate multiple projects and competing work demands. Ability to see the “big picture” while managing several small projects.
  • Proven communication skills to manage relationships with a variety of stakeholders including suppliers and colleagues.
  • Demonstrated aptitude for learning new technologies.
  • A strong alignment with the vision and values of the PA.

DESIRABLE

  • Ranger status on Trailhead
  • NPSP Consultant certification
  • Previous Salesforce Experience Cloud experience
  • Experience working with mass email tools (ie Campaign Monitor)
  • Experience working within membership organisations.
  • Experience in working within the philanthropic and/or for-purpose sector.
