We’re looking for a dynamic, systems-minded Agency Traffic Manager to join our team!

Our agency is growing and our offerings are diversifying, so we are seeking an experienced Traffic Manager to help us evolve how we manage capacity as we grow. A key part of this is evolving our task management / project management system, currently centred on WorkflowMax, towards a more industry-leading, better integrated and intuitive tool or technology stack.

This role is mid to senior level, and will report to our General Manager. We are currently looking for a full-time 12 month contract term. There is the potential this role could lead to an ongoing engagement, and we are open to part-time pending suitability and fit of candidates.

About you

You are an experienced Traffic/Capacity Manager, with at least 3 years experience in a similar role managing capacity, traffic and workflow (preferably) at a digital agency.

What this looks like:

  • You have a working understanding of digital advertising, particularly across creative and digital media campaigns - enabling you to translate requirements between Account Managers, creatives and media teams
  • You are an expert multi-tasker and have an organised approach to your work, to ensure things don’t fall through the cracks
  • You’re a gun at developing, rolling out and optimising processes and systems, and you have a knack in making processes easy to understand and adopted
  • You have solid experience in project management tool/s, and love designing and enforcing processes that help teams work together better
  • You have experience in agile ways of working including transitioning teams to agile ways of working
  • You are eligible to work in Australia (citizen/ PR) and in the Melbourne timezone

On a day-to-day basis, you will be:

  • Receiving job requests, reading briefs, managing schedules, assigning tasks and tracking task progress - ensuring jobs are completed on time and to budget
  • Managing daily standups and weekly sprint plans for the Creative Team
  • Responsible for project and task allocation across the agency, including coordinating with freelancers for resourcing gaps
  • Forecasting availability in the agency, keeping a tight feedback loop with the ops & sales teams, in order to optimise agency utilisation and ensure our work is well-resourced
  • Balancing workloads and directing resources when projects need to be “swarmed” around
  • Joining a PM Tool Champions group to select, trial and roll out a new project management platform for task management, timesheeting and traffic forecasting across the agency. We have already defined our requirements and progressed a shortlisting process - but need extra support in the selection, migration and change management process.
