  • Hours of Work: Mon-Fri, 10am-6pm, some weekend and after-hours work is required. (Initial handover 1-2 days a week)
  • Reporting relationship: Reports to the Director, North Sydney Community Centre
  • Employment Conditions: Salary dependent on qualifications and experience, in accordance with the Social, Community, Home Care and Disability Services Industry (SCHCADS) Award 2010

ABOUT THE ROLE

The primary focus of this role is to schedule, plan and manage the weekly classes, weekend workshops and events for the Community Centre with a focus on community building, wellbeing and social engagement. As part of the administrative staff this role requires you to work harmoniously and respectfully as part of a small team. While each staff member has their individual responsibilities, all admin staff answer phones; process enrolments when required; and undertake duties beyond their specific job description.

RESPONSIBILITIES

This role requires an exceptional level of communication with management committee, tutors, students, Centre staff, North Sydney Council, software developers, volunteers and the general public.

Programme and Event Management

  • Creatively develop the Centre programme in order to maintain a dynamic, interesting, varied and appealing range of activities for the community.
  • Manage a balance of revenue raising opportunities with free/low cost community events.
  • Schedule classes, workshops and community events up to a year in advance.
  • Ensure programmes and events are produced on time, on schedule and on budget.
  • Manage a large community of existing and potential contract tutors, including responding to new course proposals and sourcing new tutors as necessary.
  • Assess class viability and manage and review class and event budgets including tutor fees, workshop fees and materials and equipment expenses.
  • Write or edit course descriptions for the What’s On Guide, website and other media
  • Ensure all tutor biographical details, promotional images, materials lists, minimum and maximum students, equipment needs, and pricing structure are up to date for the website.
  • Coordinate feedback forms for events and communicate student feedback to tutors.
  • Incorporate feedback into planning and class and event management.
  • Manage annual Centre events such as Choir Performance Concerts (day and evening); annual Student and Tutor exhibition and Community Centre Open Day; Art Exhibitions, fundraisers and volunteer events, and a range of other community events.
  • Work closely with the Administrator to ensure clear communication with tutors, students and staff on upcoming classes and requirements.
  • Collaborate with the Venue Hire Coordinator to maximise the use of the Centre by the local residents, general public and the corporate sector.
  • Collaborate with the Marketing Coordinator and Graphic Designer on all marketing collateral including What’s On Guide, flyers, posters and social media.
  • Work with other coordinators (Northside Produce Market, After School Care, Explorers Playgroup) to create a programme of events that support their service areas and communities.
  • Source and develop grant applications and submit acquittal reports for funded projects as required.

General administration

  • Liaise with database and web developers to continue to drive innovation and efficiency in the software and systems we use.
  • Process enrolments.
  • Produce regular committee reports and annual reports.
  • Meet and greet with a smile, in person and via email.
  • Answer phone and walk in enquiries.
  • Willingness to manage unrelated community enquiries.
  • Some furniture setup and physical lifting required.
  • Supervise office administrative assistants and volunteers.
  • Some weekend and after-hours work is required to facilitate and deliver classes and events.

KNOWLEDGE, SKILLS AND EXPERIENCE - REQUIRED

  • Community minded with a genuine interest in adult education and creating community building events.
  • Excellent management skills with the ability to plan in advance and adhere to deadlines, and adjust to seasonal changes in work demands.
  • End to end event management experience, from concept to completion.
  • Experience using and managing customised databases.
  • Attention to detail.
  • Excellent computer skills (on a Mac).
  • Excellent communication skills, both written and verbal.
  • Maintain and review community engagement, participation and satisfaction with existing programs.
  • Development and implementation of successful new programs
  • Progress towards increasing awareness of the Centre’s activities within the local and wider community
  • Sustainable financial results
