About the role

  • Full time, 38 hours per week
  • East Melbourne location

The successful candidate MUST have previous clinic experience, a sound knowledge of PC computer systems and experience in managing timetables and schedules for multiple consultants using the Coreplus practice management software (Experience preferred but training provided). This role is a full time position and will report to the Practice Manager and Operations Manager.

The workplace environment is involves a high level of organisation and autonomy. Applicants will need to demonstrate their ability to multi-task for at time the role can be demanding. The successful candidate will be comfortable working with clients with high and complex needs such as ADHD, Autism, Depression, Anxiety and other mental health disorders.

Key duties

  • Administration support to Clinicians, Management and Administration Teams
  • Answering email/phone enquiries
  • Booking clients into relevant therapies/Clinicians
  • Data entry and filing system
  • Assisting the Clinicians with the medical equipment and ordering clinical supplies
  • Sending equipment to clients and other sites
  • Scheduling appointments for multiple clinicians
  • Confirming appointments and sending zoom/telehealth links
  • Answering phone calls and operating 3CX phone system

Key Selection Criteria:

  • 2 years minimum clinical administration experience
  • Professional attitude and presentation
  • Excellent interpersonal and organisational skills
  • Confident telephone communication skills
  • Highly organised with careful attention to detail (particularly written information)
  • Competent knowledge of Office 365 software, Office suite and basic IT software and data based systems. Coreplus knowledge is an advantage (but training can be provided)
  • Aware of issues relating to people with mental health and developmental disorders (e.g. Depression, ADHD, OCD)
  • Excellent oral and written communication skills
  • Demonstrated experience working in close knit teamCo-ordinating daily correspondence to clients
  • Scheduling for several different services within the organisation
  • Creating/processing invoicing and receipting to clients, including processing Medicare rebates
  • Liaising closely with the Balwyn site
  • Being apart of the team, including attending team meetings and work gatherings
  • Opening and closing clinic
  • General tidying duties
