About the role:

  • Part Time (0.2FTE) – Permanent Position
  • CSS Level 2 $60,246 – $65,728 (pro rata) per annum + Salary Packaging
  • Based at Geelong

The Operational Support Officer will support the delivery of high-quality services to consumers by ensuring that staff at the Neami Towards Home Plus Geelong (Services and Treatment for Enduring and Persistent Mental Illness) site receive administrative support that is flexible and responsive to their needs.

You will be responsible for carrying out daily operational support tasks which may include:

  • Coordinating travel arrangements
  • Ordering stationery and office supplies
  • Processing invoices
  • Consumer database data entry
  • Coordinating site maintenance
  • Maintaining filing and archiving systems
  • Coordinating meeting room, venue and catering bookings
  • Assisting operational support audit and compliance processes
  • Orienting new site staff to administrative systems
  • Providing basic IT help desk support for service site colleagues
  • Additional duties as required, depending on site needs

What will you bring to the role?

  • Experience in a similar role
  • Excellent administration skills with high attention to detail
  • Strong knowledge of the Microsoft Office Suite (including email and internet) and proven experience working in a computerised environment
  • Great customer service skills
  • The ability to plan, organise and analyse tasks
  • Sound communications skills both written and verbal
  • The necessary skills to build relationships with team members
  • Proven experience in being able to cope with change and adapt to ambiguous situations

  • Police check (refer to PD) – disclosable outcomes considered
  • Neami National will require, as part of our condition of employment, that all candidates applying for any position must be fully vaccinated for COVID-19 (or have received two doses of an approved COVID-19 vaccine and have a scheduled appointment to receive their third dose.)

Requirements:

  • Provide support to the Line Manager, as directed, in process improvement activities and in the overall effective operation of Neami services
  • Assist with the identification and recommendation of process improvements to improve overall efficiencies and cost effectiveness
  • In consultation with Team Leaders and Operational Managers, ensure effective tools and mechanisms are in place within CXS to successfully support teams
  • Assist with the development of internal status reports and carry out follow up actions, as required
  • Undertake regular reviews and identify corrective actions of incident records in line with the Critical Incident Reporting process
  • Provide assistance to Line Manager and the Billing team in the resolution of billing errors
  • Assist and support Line Manager and operational staff as it relates to activities required in completion of audits
