About the role

We are currently seeking a permanent, full-time Transport & Procurement Administration Assistant to Join the Multicap Team. This role will be tasked with providing administrative support around procurement and transport. This role focuses primarily on operational tasks relating to transport and fleet management operations. This involves regular allocation of pool vehicles and processed response to vehicle incidents, repairs, maintenance, and vehicle compliance issues.

This position is also responsible for assisting with procurement of all required products & services, including purchasing from pre-approved suppliers/contractors and sourcing new suppliers as required. 

Role Responsibilities

  • Implement and follow established systems and procedures to procure goods and services, including maintaining accurate documentation of goods and services purchased.
  • With the direction and assistance of the General Manager, Procurement & Transport undertake market analysis to locate more profitable suppliers as part of sourcing, ordering, collecting and distributing approved purchases for goods and services.
  • Coordinate quantities and approved timing of deliveries to best match the needs of people with disabilities we support.
  • Report key functional metrics to assist reduction of expenses and improve effectiveness.
  • Collaborate with the other Multicap teams as required and perform other duties as requested.

Other tasks include:

  • Resolving and filtering day to day transport inquires.
  • Ensure all vehicles are properly maintained to ensure safety, compliance, registration and insurance, assist in developing processes and reporting systems, monitoring these processes and updating accordingly.
  • Foster and develop strong working relationships with internal and external stakeholders.
  • Manage, assign and track use of pool vehicles as required.
  • Process invoices and maintain procurement records.

About you

  • C Class drivers licence mandatory, manual licence desirable.
  • Proven experience providing administration support for procurement.
  • Experience in transport or fleet management would be desirable.
  • Sound level of numeracy, literacy and computer skills, including the ability to use emails, programs and spreadsheets to an advanced level.
  • Ability to coordinate competing tasks and set priorities within a busy work environment.
  • Good level of written and verbal communication skills.
  • Ability to work autonomously.
  • Knowledge of and capacity to apply Workplace Health & Safety principles in the workplace.

Salary sacrifice + Meal entertainment

Attractive Salary packaging including $15,900 packaging limit per FBT year (1 April- 31 March) and $2,550 per year for meals and entertainment expenses.
