INTRODUCTION

The Moonee Valley Toy Library (MVTL), established in 2011, is a not-for-profit incorporated association, run by a volunteer committee of management. The MVTL has thousands of fun and educational toys available for borrowing to the community of Moonee Valley. It is the aim of the MVTL to raise awareness of the importance of play for babies and children and to encourage families to value and enjoy playing together. The MVTL provides quality and educated advice to members on the selection of play materials for their children while also connecting members with other families and local services to support their children’s development, health and well being.

POSITION OVERVIEW

The Senior Coordinator is responsible for all aspects of the MVTL day to day operations.

KEY RESPONSIBILITIES

Toy Library Session Coordination:

  • Coordinate all aspects of the day-to-day functions of the toy library session, including daily administration tasks, emails etc.
  • Manage the premises at both Essendon and Avondale Heights locations and report any concerns, i.e. safety, maintenance, functionality etc to the Committee.
  • Train and supervise any casual and volunteer session coordinators employed by the toy library.
  • Manage all monetary transactions relating to membership fees and/or fines.
  • Provide advice and support to members on play and toy selection.
  • Maintain the overall toy collection, including toy displays and physical location of toys in the space ensuring ease of selection, safety etc.

Staff and Volunteer Coordination:

  • Management and coordination of casual paid staff employed by the toy library, including timesheets, leave days etc
  • Management and coordination of volunteers, including recruitment, training and planning of roster/tasks.

Membership Coordination:

  • Register and orientate new members, ensuring borrowers are aware of the rules and responsibilities of being a toy library member.
  • Manage all aspects of the membership process, membership forms, payment, renewals etc and maintain accurate record of the TL software system MI base.
  • Manage member statistics and keep records to report regularly.

Marketing & Promotion:

  • Identify opportunities for the promotion of the toy library within the Moonee Valley community,
  • Build strong relationships with community and related services and programs within the Moonee Valley community, including Moonee Valley Council.
  • Participate in and support MVTL fundraising activities and events,
  • Act as a representative for the MVTL by attending meetings and events as deemed appropriate
  • Act as the toy library representative for the MVTL at the Toy Libraries Australia (TLA) Annual Seminar

Management of Toy Collection:

  • Develop a solid knowledge of the toy library collection,
  • Ensure the maintenance of individual toys in the collection to the highest standard, including regular assessment of safety, cleanliness and packaging,
  • In partnership with the Toy Buyer and Committee, make suggestions for acquisitions, within budget based on member feedback, ideas etc.
  • Manage the cataloguing and record keeping of all toys, including labelling systems etc and plan a yearly stock take, in partnership with the Committee and with support from volunteers

Admin and General Tasks:

  • Attend committee meetings to report on TL operations, membership statistics etc and to liaise with committee members re: policy and planning decisions
  • Manage and maintain office equipment including computers, internet and telephone etc
  • Manage and maintain TL software and IT programs, Google drive, MI-base, Outlook etc
  • Reconcile weekly takings and bank promptly

KEY SELECTION CRITERIA

The applicant must demonstrate that they possess:

  • Experience or understanding of the value and importance of play for babies and children;
  • An understanding of the developmental milestones of children and an ability to match appropriate play materials to these developmental stages;
  • Experience in managing casual staff and/or volunteers;
  • Experience in recruiting and maintaining a regular pool of volunteers;
  • An understanding of the issues related to working within the not-for-profit and/or community sector,
  • Experience working with and providing support to children and families from diverse cultural and socio-economic backgrounds;
  • The ability to self-motivate, manage time effectively and work with limited day to day direction;
  • Excellent interpersonal skills with the ability to create warm, welcoming and caring environments that establish positive relationships with members and other stakeholders;
  • Excellent written communication skills with a high level of attention to detail, particularly with regard to record keeping and administration;
  • Proficiency in cloud based software Google Drive as well as Microsoft Office programs.

Highly Desirable:

  • Previous experience working in a Toy Library setting

HOURS & CONDITIONS

The primary working days and hours for the Senior Coordinator are:

  • Tuesday 9.30am-12.30pm
  • Wednesday 9.30am – 12.30pm
  • Friday 9.30am – 12.30pm
  • 5 x admin hours, completed during the week, either side of the session hours.
  • The role also includes some evening and weekend work, to attend meetings and TL fundraising events.
