About the role

The Adult and Older Adult Mental Health and Wellbeing services, also refer to as “Locals”, are a key recommendation from Victoria’s Royal Commission into the mental health service system’s transformation. The Locals will act as the ‘front door’ service to the mental health system and will provide a continuum of care and support, including clinical interventions, wellbeing supports, and therapeutic support through an integrated mental health and alcohol and other drug framework approach. These services will have a ‘no wrong door’ policy, ensuring accessibility to all individuals seeking support.

We are seeking a professional, self-motivated Administration Support Officer for a permanent, full time opportunity to provide high level reception and administration support in the Bendigo area. You will ensure that Locals is perceived as friendly and welcoming in a role that is generally about supporting the team with all administrative tasks. This role is essential to support the delivery of front line care provided by a multi-disciplinary team.  

Key responsibilities

  • Reception duties including answering phones, booking and confirming appointments, dictaphone transcribing of medical reports and preparation of new client files.
  • Provide exceptional customer service to meet and greet people, families, friends and visitors.
  • Provide information to people and their families and friends presenting to Locals, ensuring that all enquiries are dealt with in a confidential and sensitive manner.
  • Assist the Service Manager and provide administrative assistance including managing office systems, correspondence, accounts and billing, and database maintenance.
  • Oversee all Medicare billing, batching and electronic claims, and ensure compliance with Medicare and other statutory requirements. 

What you’ll bring

  • Certificate IV in Business Administration and/or experience in administrative support in the Health, Medical or Community Services sector.
  • Strong organisational skills and ability to work under pressure to meet tight deadlines incorporating effective planning, time management, resourcing, facilitation and achieving quality outcomes therefore attention to detail is essential.
  • Broad experience in administrative support, data entry and customer service in Not For Profit, Social Services, Community Services, Healthcare or Disability services settings.
  • Maintain personal integrity in handling sensitive client data.
  • Highly effective communication and interpersonal skills, ability to positively contribute to the team and organisation culture.
  • Experience in using Pracsoft, Best Practice, Tyro, and Medicare billing Systems is desirable
  • Mandarin, Cantonese and other Asian language skills are highly regarded
