About the program

Melbourne City Mission’s Palliative Care was established in 1981 as the first community-based palliative care service to operate in Victoria. Melbourne City Mission Palliative Care provides an individualised service response to enhance the quality of life of people who are at the end stage of their illness by providing specialist, interdisciplinary health care and practical support. This may include managing complex issues that the end of life presents to the client, their family, and carers. We are seeking an engaged and proactive staff member to join our Client Support Administration Team The service is provided to residents of the local government areas of Darebin, Hume, Moreland, and Yarra.

About the role

The Client Support Administrator is responsible for providing front line administrative support and a high level of customer service to clients, carers, staff, and external stakeholders. The role plays an integral part in the overall functioning of the Palliative Care service with responsibilities spanning client interface, information management including data entry and processing; office supply and equipment management; accounts and invoice entry. A component of the role is to work within the Palliative Care Liaison team to provide administrative support to the Liaison Nurse.

Duties of this role may include but are not limited to:

  • Perform administrative duties according to business operations and policies and procedures whilst providing excellent customer service to our clients and their carers, in a sensitive and professional manner.
  • Answer telephone calls from clients, carers, referrers other community-based agencies, as well as general enquiries, assisting or redirecting as appropriate
  • Maintain client record (Palcare) and accurately process client referrals, admissions, deaths, and discharges as per MCM Palliative Care procedures.
  • Maintain the medical consumable and stationery supplies and process orders for medical, stationery and other office supplies as required.
  • Collaborate with peers and colleagues to ensure efficient and effective service delivery and continuous improvement of all systems and services.
  • Manage on-site resources (room & car bookings, assisting with set up of room and equipment, reception duties and visitor logs).
  • Generate and process outgoing referrals to other service providers (e.g., Community Health Centres and for respite and applications for related funding) as directed by clinical team/interdisciplinary team.
  • Generate and maintain accurate reporting to support client outcomes.
  • Participate in meetings, debriefing, supervision, training, and forums.

Skills and experience

Essential:

  • Excellent and demonstrable administrative competencies in telephone and reception
  • Excellent and demonstrable computer skills - specifically data entry, word processing, Excel
  • Demonstrated experience of working with client management systems.
  • The ability to be both clear and firm in dealing with others regarding sensitive and confidential information
  • Ability to maintain an empathetic and engaging manner with clients and carers while completing time sensitive administrative tasks
  • Maximum time effectiveness and ability to distinguish between low and high priority activities
  • Current Victorian driver’s licence.
  • COVID -19 Vaccination or medical exception.

Desirable:

  • Prior employment within the health setting.
  • Knowledge of medical terminology.
