We are looking to appoint an Executive Assistant to provide admin support services to the Board of Management and Senior staff.

ABOUT US

MCWA has been providing services to the ageing Macedonian community since the early 1980s. MCWA is a Commonwealth Home Support Program, Home And Community Care for Younger People, Home Care Packages provider. This not for profit organisation is governed by a Board of Directors. The organisation operates at a state level with head office located in Maribyrnong. Since 2008, MCWA has been providing services to other diverse communities, and is continuing to grow its ability to address the needs of the aging Culturally and Linguistically Diverse (CALD) communities through in home and social support.

ABOUT THE ROLE

This position is predominantly to provide Executive Assistance services to the Board of Management, Senior Management and to the Home Care Packages and Commonwealth Home Support Programmes.

Responsibilities for this position include, but are not limited to:

Board Support

  • Scheduling and preparing all documentation for the meetings including but not limited to agenda's, compiling documents, taking minutes.
  • Maintain Board registers related to compliance such as Police checks, governance documents etc.
  • Support the sub committees in scheduling meetings, reminders, minutes, actions etc.
  • Any other support as required.

Managing Director Support

  • Managing inboxes
  • Scheduling and maintaining meeting dates, agenda's, actions and minutes from the Departmental meetings
  • Any other admin support as required

Home Care Packages (HCP) & Commonwealth Home Support Programme (CHSP) admin support:

  • Preparation of HCP Kits.
  • Compiling all documentation related to the HCP client including but not limited to Agreements, Care Plans and recording those in the HCM system.
  • Assistance with recording of all invoices related to the HCP program.
  • Preparation and sending of the monthly statements for the HCP clients.
  • Assistance with obtaining quotes from external agencies for the HCP program including but not limited to cleaning, home maintenance etc.
  • Assistance with obtaining all relevant documents for the HCP contracts to ensure we are compliant with the current legislative.
  • Maintain HCP contractor registers.
  • Any other duties as required in the HCP program.
  • Assist the CHSP program coordinators and leaders in admin support as required.
  • Any other duties as required in the CHSP program.

SELECTION CRITERIA

  • Relevant Business Qualification (Certificate IV or Diploma in Business Administration) is desired
  • Excellent writing skills in English language
  • Speaking and/or understanding Macedonian language would be an advantage
  • Previous administrative work experience
