The Opportunity.

There are two key elements to this role. The Personal Assistant & Office Administrator provides administration support to the Head and Deputy Head of Engagement and Philanthropy to ensure executive (customer) service for major donors, major donor prospects, solicitors, Board, Development Board and senior internal relationships. In this capacity the Personal Assistant and Office Administrator will work closely with the Supporter Relations, Major Donor and Event teams. Secondly, the role supports the broader administration and policy and procedure requirements of the Engagement and Philanthropy team.

Your responsibilities will include:

  • Provide administrative support to ensure appropriate and on time cultivation, solicitation and stewardship of major donors and major donor prospects assigned to the Head and Deputy Head of Engagement and Philanthropy
  • Provide administrative support to the ensure the appropriate and on time response to major donor solicitors including board and development board members and committee volunteers
  • Co-ordinate the efficient management and distribution of donation receipts according the gift signatory policy (including co-ordinating the signature of the Director when appropriate.
  • Coordinate meetings, events and seminars for which the Head and Deputy Head of Engagement and Philanthropy are involved or have instigated, including aspects from mailing invitations and agendas to setting up rooms and ordering catering.
  • Review the Head and Deputy Head of Engagement and Philanthropy appointments, agendas and meeting papers to ensure that all relevant information is presented, and necessary action has been taken
  • Liaise with the events team to provide input and support for major fundraising events
  • Co-ordinate and maintain distribution lists for major donor fundraising events and communication
  • Coordinate travel arrangements, accommodation and scheduling of visitors
  • Maintain a filing system and maintain accurate and detailed records in the donor database (Raisers Edge)
  • Provide administrative assistance to the Development team, including equipment purchasing and financial management
  • Co-ordinate the Engagement and Philanthropy expense budget
  • Co-ordinate the fundraising dashboards for the Engagement and Philanthropy team and internal and external stakeholders
  • Co-ordinate Engagement and Philanthropy projects and workflow (Trello)
  • Be aware of and work in accordance with MCRI policies and procedures, including Occupational Health and Safety, Equal Employment Opportunity and Confidentiality.
  • Coordinate the compliance with MCRI policy requirements and coordinate staff leave
  • Ensure the Engagement and Philanthropy office space is efficiently maximised

You Demonstrate:

  • Certificate or Associate Diploma or equivalent in relevant field
  • Demonstrated experience as a personal/executive assistant.
  • Demonstrated experience reporting to senior leader
  • Excellent interpersonal and communication skills
  • Excellent administrative and time management skills
  • Excellent Project coordination skills
  • Proficiency on a PC in standard office applications, including MS Word, PowerPoint and Excel, internet browsers, Adobe Acrobat and Photoshop, and Outlook.
  • Business acumen.

  • Salary Range $75,000 - $86,000 PA + super + salary packaging
