Senior Administrator - Office and Events Administration

Role Objective

The Senior Administrator role is a hybrid role that is responsible for all office administration duties as well as looking after the operational running of events. The primary goal for this role is to plan and deliver our events portfolio alongside day to day office administration tasks.

Key Responsibilities

  • Live and breathe Maths Pathway values, role modelling behaviours for colleagues.

Events logistics

  • Executing event plan - this includes internal and external events (30 small events annually).
  • Booking venues.
  • Managing attendees requirements lists.
  • Managing feedback forms and reporting on event metrics.
  • Managing monthly expenditure reconciliation.
  • Update systems and communicate event status to stakeholders.
  • Administration of events management system.
  • Answering email and phone enquiries from suppliers.
  • Answering email and phone enquiries from customers attending events.
  • From time to time available to attend events and assist with set up. This may include interstate travel.

Administration

  • Reception duties, including greeting visitors, answering and directing phone calls, and processing and directing mail and incoming packages or deliveries.
  • Data entry and upkeep of various office registers including keys, subscriptions, and assets.
  • Calendar and meeting room management.
  • Management of office supplies, services, and environment such as cleaners and maintenance companies, stationery, kitchen supplies, equipment, and furniture.
  • Management of staff donations for social occasions and gifts.
  • Meeting preparation, including documentation and administrative support, catering, and preparation of meeting spaces.
  • Perform ad-hoc general administration duties and provide administrative support to other organisational units as required.
  • Coordination of deliveries, mail outs and couriers.
  • Other duties as directed by Maths Pathway from time to time.

Skills and Requirements

Qualifications and Experience

  • Experience in admin a must.
  • Experience in events desirable.

  • Highly organised.
  • Can work under pressure.
  • Excellent customer care.
  • Excellent collaboration and interpersonal skills with the ability to work in partnership with senior leaders, managers, and staff to successfully deliver events.
  • Ability to diagnose when they have sufficient knowledge or when they require further understanding and assistance.
  • Excellent computing skills, including fast typing speed, highly fluent use of relevant applications, and a general level of comfort with technology.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to prioritise own work, and work on several tasks simultaneously whilst meeting deadlines and delivering results on schedule.
  • Ability to work with all levels in an organisation and to build and foster relationships and networks.
  • Flexible and adaptable to meet the requirements of the projects and business at a given time.
