About the role

We are seeking an experienced Executive Assistant to provide executive administrative and operational support to our CEO, the Leadership team and the Board.

This opportunity is an exciting role for an Executive Assistant looking to support an established but growing values driven, mission focused not for profit. You will be able to add value across the business and get involved in boarder tasks such as event management, complex report writing and project management. Responsibilities

  • Providing executive support to the Chief Executive Officer and other executive team members, including diary management and stakeholder communications
  • Providing the CEO, Company Officers and Board Chair support in governance reporting.
  • Providing corporate travel assistance
  • Preparation and management of events and other functions, including meeting coordination, agendas and minutes.
  • High level administrative support to the Relationship Matters Board of Directors, CEO, Executive Members and other board subcommittees.
  • Coordinate induction and on boarding of new board members.
  • Coordinate submissions and document control for tenders.
  • Quality assurance tasks including providing assistance to the Executive Manager responsible for quality assurance and accreditation.
  • Managing the Relationship Matters Intranet.
  • Maintain the organisation’s off-site record storage facility (Recall Archiving).
  • Manage the CEO and Executive Assistant corporate credit cards.
  • Carry out special projects as allocated by Chief Executive Officer.
  • Act as the point of contact between the Executive team and internal or external stakeholders including Ministerial and Parliamentary Offices, senior government officials, member and partner organisations and members of the public.
  • Organise meetings, agendas and minutes for the CEO and Leadership team.

About you

You will be:

  • Tertiary qualifications and / or relevant administrative / business studies.Experience supporting at an executive level.
  • Significant experience providing administration support to Executive level, preferably in the not-for-profit sector.
  • High level computer literacy, including competence in advanced functions with the Microsoft Office Suite of programs, including Outlook, Access, SharePoint, Excel and Word, WordPress and databases and client information systems (Penelope); and willingness to continue to develop skills and undertake further training.
  • Excellent organisational and time management skills, demonstrated by an ability to perform multiple tasks at a high standard.
  • The ability to communicate with all levels of staff across the company, industry sector and with Government agencies.
  • Able to manage complex tasks and projects autonomously.
  • Outstanding communication skills, both written and verbal
  • You will be self-motivated, display a proactive approach and have exceptional attention to detail.
  • The ability to apply strategic and critical thinking, as well as bring new ideas to the table.

Previous experience working in a human services/community services environment would be highly regarded.
