About the role

This fixed term, job-share opportunity within the Life Without Barriers VDAS administration support team, calls for someone with proven organisational and administration skills, who is able to see what needs to be done and does it in an efficient, friendly and professional manner. The role is based in a central hub within our North East Regional cluster in Bundoora and provides support to Regional and Operational Managers as well as the wider administrative support team within VDAS. 

Job-sharing with our existing administrative support person in the Northern Region whilst she is undertaking study placement within Life Without Barriers, this is an excellent opportunity to find out more about the disability services space, gain insight into the operational aspects of disability accommodation services and undertake a variety of administration support tasks to ensure the continued smooth running of the support function.  

The contract will run from October 14th 2020 until 12th February 2020 (Full-time - Wednesday, Thursday and Friday).

Key Responsibilities

  • Provide administrative support to the Victorian Disability Accommodation Services (VDAS) business unit.
  • Provide specialised support to VDAS projects (i.e. minutes taking, documentation, reports preparation etc.).
  • Coordination with external and internal stakeholders in fulfilling business and operations requirements.
  • Key role in Bundoora site emergency procedures and summer preparedness, including ensuring relocation plan is updated to reflect changes in process and changes in residents, staff, contact numbers etc. 
  • Processing of office stationery orders and other related business requirements.
  • Answering of Local switchboard (both internal and external calls), transferring of calls to appropriate personnel, taking of messages etc.
  • Undertake data entry, typing, filing, photocopying, binding and faxing of documents as required.
  • POST COVID Lockdown - Greeting of staff, residents and visitors to PRS Office and providing directions, giving access to office and other information as required.
  • POST COVID Lockdown - Collection of mail from local Post Office. 

Skills & Experience

  • High level administrative skills and experience in providing support and assistance to management
  • Strong written and oral communication, interpersonal and customer service skills
  • Ability to manage sensitive information and maintain a high degree of confidentiality
  • Demonstrated invoicing and accounts experience
  • Effective time management and organisational skills
  • Demonstrated ability in using Microsoft Office suite programs
  • Current Driver's Licence

Successful candidates will be required to clear probity checks including National Criminal History Record Check and Working with Children Check (where relevant to the role).
