- Full time role based in our centre in Kew - to be worked between 7am-3pm Monday to Friday. Open to part time applicants (minimum 30 hours per week) willing to work across the five days and commence at 7am each day
- Reports to General Manager
- Works closely with the management team, office & clinical staff and families
KEY RESPONSIBILITIES AND DUTIES OF THE ROLE INCLUDE:
- Daily coordination of roster and timetabling changes, including proactive reorganisation of shifts and clear communication with the Practice Manager.
- Ensuring the smooth running of the office, including taking responsibility for office phone calls, emails, mail, deliveries and new client enquiries.
- Liaising with facility management vendors and coordinating premises maintenance and improvement needs.
- Coordinating with the external IT department on all office equipment.
- Providing support for payroll, invoicing, supplier payment and bank reconciliation processes.

SELECTION CRITERIA
- Proven experience as an office manager, timetabling manager, administrative assistant, bookkeeper and/or finance assistant
- High School degree; additional trade certification in Business Administration or similar is desirable
- Knowledge of office administrator and/or timetabling coordinator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel, SharePoint and MS Outlook, in particular)
- Hands-on experience with office machines (e.g. printers) and office and/or roster software
- Excellent planning and time management skills and ability to multi-task and prioritise work
- Excellent written and verbal communication skills
- Attention to detail, problem-solving skills and a creative mind with an ability to suggest improvements
