The role

We pride ourselves for being ridiculously flexible and supporting our staff to achieve the best outcomes possible. You will be working 5 days a week (4 days remotely with 1 day a week spent with the rest of the team in our CBD office). The key responsibilities for this role are as follows:

Administration, Policy Alignment and Operations Management

  • Complete financial processing using WorkFlowMax and Xero, including processing invoices and purchase orders
  • Provide logistical and policy implementation across a range of business operations – administration, financial, risk management, social impact, IT and data security and compliance
  • Provide administrative, logistical and budget planning for a range of projects
  • Provide administrative support in the form of fluent digital literacy, including a high level of proficiency in Microsoft Office suite programs.
  • Monitor, record and organise staff mobilisation, including international travel
  • Support our B Corp certification requirements and monitoring our direction towards increasing our score.
  • Provide flexible, innovative ‘remote office management’ support for the whole team, assisting with creative problem solving including liaising with ITC, procurement, and the unexpected

Research and project support

  • Supporting our leading research program Humanitarian Horizons, collecting, coding and analysing primary data
  • Support with document collection and review for all projects
  • Undertake scoping and mapping tasks
  • Complete other project specific administrative and research support tasks upon request, including basic copyediting and incorporating feedback into research outputs.

Marketing and Communications

  • Create content for HAG’s social media accounts: Facebook, Twitter, LinkedIn and Instagram
  • Support event management, including concept note development, budget planning, organising catering, booking venue, taking minutes, circulating agendas, and developing outcome documents
  • Create reports and documents that promote our work - including annual reports
  • Proofread & copyedit reports and other communications
  • Provide support to project specific meetings with the above tasks

Essential Key selection criteria

  • Basic research experience
  • Demonstrated experience in business operations or administration
  • Demonstrated creative problem solving
  • Demonstrated attention to detail and strong writing & editing skills
  • Strong computer literacy skills, particularly in Microsoft Office, social media and managing websites
  • Strong interpersonal communication and time management skills
  • The ability to work independently as well as cooperatively in a team environment and with competing deadlines
  • Understanding of HAG’s values and a keen interest in humanitarian aid

Desirable selection criteria

  • Digital fluency on a variety of web platforms, software and IT systems
  • Knowledge of languages other than English
  • Knowledge of InDesign
