About the role:

We are seeking an experienced Personal Assistant to provide administrative and operational support to the HSU Secretary. This role would be suitable for a highly resourceful person who is comfortable working in a fast-paced environment, sometimes under pressure, with a ‘can do’ attitude with the ability to pro-actively identify support needs. This position is based at the HSU office in CBD Sydney.

Responsibilities:

  • Provide professional administration and operations support to the HSU Secretary, including diary management, coordinating stakeholder communications, meetings and minute taking at key meetings.
  • Assist the HSU Secretary and the Chief Financial Officer preparing governance and compliance reporting.
  • Attend meetings and work in progress reviews tracking items requiring action.
  • Travel management including flights, accommodation, itineraries and expenses in line with relevant Union policies.
  • Preparation and management of events and other functions, including meeting coordination, collating and disseminating agendas and minutes etc.
  • Process expenses and accounts payable requests in addition to having a grasp of excel and spreadsheets for budget and monthly expenditure reviews;
  • Maintain knowledge of Union’s operations, guidelines, processes and people in order to facilitate aligned executive support. Providing a bridge for consistent, standardised, timely communication between the HSU Secretary, the executive team and internal and external parties;
  • Work constructively in alignment with HSU values. Comply with all HSU policies and procedures and statutory obligations, occupational health and safety, to contribute to a safe, healthy, equitable and ethical workplace.

Skills and Attributes:

  • Relevant experience as an Personal/Executive Assistant with operational experience.
  • Excellent organisational and interpersonal skills.
  • Demonstrated ability to juggle conflicting priorities and deadlines.
  • Advanced knowledge and understanding of MS Office software
  • Excellent communication skills, in written and oral
  • Sound problem-solving with strong decision-making capabilities.
  • Strong financial competence with ability to innovate and achieve results.
  • Ability to use initiative with ability to adapt and manage unpredictable workload.
  • Ability to maintain strict confidence at all times.
