We are seeking a dedicated and passionate Project Manager to lead PCYC’s new ERP systems implementation projects.

This an exceptional opportunity in which you will be able combine all your skills and experience, to coordinate people and processes and lead the execution of new systems. You will possess strong business and management experience, financial acumen, analytical thinking and exceptional interpersonal and communication skills. You will be responsible for the successful implementation of system improvement projects, ensuring systems are functional and that they satisfy the needs of the organisation.

A critical 6 month role, we offer flexible working arrangements (including up to 50% WFH) as well as a fun, collaborative and supportive team.

PCYC exists so that disadvantaged children and young people at risk across Western Australia have a safe place to go – somewhere they can feel at home, make friends and do things that children should do.

We currently operate in 16 locations across WA, with 42 Blue Light Units in remote and rural areas where there is no PCYC Centre. Our organisation is unique through its partnership with the WA Police, and mission simple – to help all children and young people achieve their potential.

Role Statement and Context

Reporting to the Chief Executive Officer and in consultation with Executive Manager, Finance & Business Services (EM, F&BS), the Project Manager is responsible for the successful implementation of system improvement projects, ensuring systems are functional and that they satisfy the needs of the organisation.

The system improvement projects that specifically relate to this role currently include the:

  • Accounting and payroll system (ERP System).
  • Rostering, timesheet, and attendance software.
  • Point of sale system.
  • Expense management system.

The aim of this role is to coordinate people and processes to deliver the above projects on time, within budget and with the desired outcomes. The Project Manager will be the liaison between the project working group, software providers and staff.

Roles and Responsibilities

This role requires a confident and energetic individual who can drive system improvement projects and ensure that projects are well designed and implemented with the desired outcomes.

Duties include, but are not limited to the following:

  • In conjunction with the EM, F&BS and the Finance team develop and implement a new:
    • ERP System.
    • Rostering, timesheet, and attendance software.
    • Point of sale system.
    • Expense management system, including online credit card coding.
  • Ensure adequate internal system controls are implemented (preventative and detective) to provide quality assurance over data, including appropriate audit trails.
  • Ensure user acceptance testing and system integration testing are complete and satisfactory.
  • Work closely with the EM, F&BS and external IT providers to review systems performance, identify system issues and resolve system problems.
  • Assist with the development and implementation of new business processes that utilise available technology such as electronic accounts payable, imaging, and online documents.
  • Develop and implement user guides and training manuals ensuring all policies and procedures associated with system or process improvements are updated and documented clearly.
  • Provide training and support to both finance and non-finance staff in the use of new systems and procedures.
  • Assign responsibilities and set deadlines for both internal and external resources.
  • Prepare detailed project plans to schedule key project milestones, work flows and activities and ensure the projects are managed according to the plan, including timelines, deliverables and communications plan.
  • Manage vendor performance and deliverables against contractual terms & conditions.

This role also requires an individual with demonstrable, strong business and relationship management experience. You will be adept at collaboration to help establish, build and nurture stakeholder relationships and manage expectations proactively.

Selection Criteria

Essential

  • National Police Clearance (current).
  • Significant Project Manager or Continuous Improvement experience delivering complex projects with a range of stakeholders.
  • Demonstrated ability to champion change and foster a culture of continuous improvement.
  • Well-developed analytical and problem-solving skills with the ability to explore new ideas demonstrating creative approaches to achieving outcomes.
  • Well-developed computer skills, including in the use of MS Office Suite, expert knowledge of Microsoft Excel and accounting software.
  • Basic knowledge of accounting systems.
  • Ability to develop, implement and analyse strategies to optimise operational performance.
  • High level of accuracy and attention to detail.
  • Effective interpersonal, communication, liaison, negotiation and conflict resolution skills and the ability to clearly articulate complex information to others in terms which are understandable.
  • Demonstrated self-management, time management and organisational skills including the capacity to work under pressure and multiple deadlines through a flexible approach.
  • Demonstrated commitment and ability to provide a high standard of customer service, whilst maintaining confidentiality and discretion.
  • Dedication and resilience.

Desirable

  • Degree in commerce/business/accounting or IT.
  • Broad experience with accounting systems.
  • Systems Accountant experience.
  • Systems development and finance systems experience.
