The Role

The Executive Assistant, Public Affairs is accountable for providing administrative, secretarial and executive support to the Deputy CEO and Executive Director Marketing & Fundraising, as well as administrative support and coordination to the Public Affairs team as required.

This role is suitable for an existing Executive Assistant / Personal Assistant looking to continue to grow as an EA. You’re passionate about the EA industry and have a gift for balancing the work of multiple direct leaders. Your maturity to be entrusted with highly confidential information is your strength. You are aware of your emotional intelligence and are searching to work within the NFP sector (we welcome first timers!).

What your day could look like:

  • Screening and assessing incoming correspondence and ensuring appropriate distribution and/or response
  • Researching and drafting presentations, correspondence, reports, briefs, memos and other documentation
  • Proactively managing and maintaining the schedule and diaries of both leaders as well as the strategic coordination of team calendars, deadlines, reporting and liaison with external providers
  • Acting as primary support for organising travel and all associated documentation
  • Supporting financial management and coordination for senior leaders of Public Affairs
  • Providing division-wide facilitation for recruitment and scheduling of interns and volunteers
  • Manage relevant key divisional and organisational meeting and event logistics
  • Coordinate Public Affairs input and reporting requirements for the Executive Management Group, Board committees, and FHF/Entity Board meetings

What you will need to bring to the table:

  • Strong experience as an Executive Assistant to multiple direct senior leaders
  • Strong experience working in an administrative, office management and support services function
  • Experience working in an international context or for a multi-national organisation
  • Experience in travel coordination including bookings, agenda setting and documentation
