The key purpose of this role is to provide executive administration and project support to the CIO and the wider Information & Technology team. We are looking for an enthusiastic, approachable, natural communicator who is a logistical wizard and thrives on working in a fast-paced, deadline-driven environment. What will you be doing:
- Provide secretarial and office administration support to the CIO in a timely and effective manner
- Manage accurate diary and commitments e.g. schedule appointments, organise meetings, travel and catering where required
- In consultation with the CIO resolve conflicting demands including prioritising and rescheduling meetings and appointments
- Organise team events and functions when required
- Prepare and produce documents, reports, correspondence, presentations, project spreadsheets etc. in a timely manner and as required
- Maintain records and provide general administration support to the CIO
- Organise travel and accommodation for the CIO for meetings and events interstate and overseas, and accompany CIO where necessary
- Review documents for signing and approval by the CIO
- Assist with the proofing, preparation and submission of department operational plans
- Participate in a range of projects across the organisation as requested by the CIO
- Participate as a team member in various projects including project documentation and minutes
- Carry out project tasks as delegated including writing, maintaining, reviewing or editing documentation
- Complete data entry of continuous improvement activities and project tasks into the quality system and other company systems as required to ensure detailed records are maintained
- Provide support, coaching and guidance to stakeholders
- Use project scheduling and control tools to monitor collection of client data
What You’ll Need to Have:
- A minimum of 2 years' experience in a similar role
- Highly developed time management skills and demonstrated ability to meet deadlines and to effectively manage multiple projects/tasks including the organisation of events and functions
- Demonstrated experience in secretarial work and the preparation of agendas and minutes
- Demonstrated tact, discretion, diplomacy and negotiating skills maintaining confidentiality
- Advanced skills in Microsoft Word and a high level of proficiency in other Windows-based computerised systems, software and applications and spreadsheets
- Demonstrated strong pro-active drive, initiative and energy to ensure maximum efficiencies and effectiveness in all areas of responsibility
