Contract Terms: Fulltime permanent position (35 hrs/week).

Location: 120 Byng St Orange, with occasional requirement for travel to other areas in the region.

Remuneration: This position is classified under the Social, Community, Home Care and Disability Services Industry Award 2010 (SCHCADS) Level 3 (calculated for a 35-hour week). Salary packaging benefits are available in accordance with ATO guidelines for Public Benevolent Institutions.

Our Enterprise Agreement includes additional entitlements including time in lieu and additional leave entitlements including 2 weeks paid leave over the summer holidays while the centre is closed. Long Service leave is provided after 5 years service.

About you:

Our Administration and Volunteer Coordinator facilitates the operations of our services across the region. A high level of initiative towards reception and administration duties and the recruitment, coordination and supervision of volunteers is required.

To be successful in this position you will have well developed listening and communication skills with natural empathy, personal drive, great time management and organisation skills, a knack for problem solving and a can-do attitude.

People with an Aboriginal and Torres Strait Islander background are strongly encouraged to apply for this role.

about the role:

This role will be based in our new office in Orange, co-located with the Orange Local Aboriginal Land Council. This is an exciting opportunity to build connections and provide vital services to the local community. You will work independently with 2 solicitors in the office and be supervised by the Centre Director/Principal Solicitor.

You will be further supported by your counterpart Administration Coordinator based in Katoomba, as well as the Operations Manager and other solicitors in Katoomba. We will provide you with ongoing training and support and external supervision is offered.

Duties and responsibilities include:

  1. Directing enquiries and warm referrals and providing support as needed:
    • Be the first point of contact during opening hours including for walk-in enquiries
    • Ensure enquiries made through our admin email and phone line are attended to in a timely manner
    • Coordinate appointments for the solicitors, including managing outreach appointments
    • Ensure all warm referrals are processed in a timely manner
    • Support the legal team with other intake and triage functions as required
  2. Ensuring well organised and efficient administration and operation of the Centre:
    • Ensure mail is collected, entered, distributed and posted out daily as appropriate
    • Proactively coordinate the ordering of stationery, brochures, resources and other consumables
    • Ensure equipment is in good working order and coordinate repairs and maintenance as needed
    • Assist with filing as required and coordinate archiving processes
    • Ensure the office and its facilities are clean, safe and fit for purpose
    • Assist with planning and preparation of community legal education and other events as required
    • Ensure timely and accurate intake is conducted
    • Provide administrative support to all staff as required and directed
  3. Recruit, coordinate and supervise volunteers:
    • Create and manage volunteer rosters to meet organisational needs
    • Recruit new volunteers, including advertising, selection and interviewing
    • Provide orientation and training to new volunteers, including database training, that is appropriate to their role
    • Manage volunteer workplace issues and absences
    • Engage, support and resource volunteers in their work
    • Coordinate and attend the Evening Legal service once established

Selection Criteria:

The following skills, abilities and experience are required to be successful in the role.

Essential:

  • Demonstrated ability to take initiative, work with minimal supervision, accept responsibility, and work as part of a multi-disciplinary team in a complex work environment.
  • Excellent oral and written communication and interpersonal skills and a demonstrated ability to communicate with a wide range of people including disadvantaged people in distress as well as government and community organisations.
  • Demonstrated time management skills showing ability to exercise initiative, prioritise work and meet deadlines.
  • Experience in the development and maintenance of records, filing and office systems and processes.
  • Completion of Aboriginal specific cultural safety training or willingness to undertake cultural safety training.
  • High level of computer literacy including experience with Microsoft suite and a variety of databases and online platforms.

Desirable:

  • Experience working in a community legal centre or knowledge and understanding of the sector.
  • Experience working in an Apple Macintosh operating environment.
  • Current NSW driver’s licence.
