ORGANISATIONAL CONTEXT:
The ESA is a membership based Society and the peak body for ecologists within Australia. The ESA’s mission is to foster excellence in ecological science and practice. We create an inclusive community to support research and knowledge sharing to better understand ecological systems. One of our core values is knowledge sharing, and our Strategic Plan places a strong emphasis on effective communication with members and public outreach to improve understanding of ecology more broadly, and integrate ecological principles into environmental policy and society.
This role is part of an administrative team including the Executive Officer, Communications Coordinator and Finance Officer. This position will focus on providing an effective membership service through timely and direct customer service, and management of the Society’s digital platforms including website, membership database and other digital services.
RESPONSIBILITIES & DUTIES
Digital Services
- Manage the ESA email and file storage (Google platform) for Board members.
- Maintain high standards of data security (incl. sensitive web content)
- Domain management (ecolsoc.org.au)
- Manage online awards submission processes.
- Liaison with providers (such as our web developers and membership system) to maintain and enhance system functionality
- Advise and assist staff and the Board with their technical needs
- Manage the ESA’s website (Wordpress), including developing new features when needed.
- Maintain the member database system, including the member portal functionality and records of all members of the Society
Membership Services
- Liaise with Executive Officer and VP Membership & Communications to assist the management of membership numbers, renewals, and retention through implementing effective monitoring systems, marketing strategies and renewal reminder systems, data analysis and reporting
- In conjunction with the Finance Officer ensure the financial aspects of memberships are reconciled across systems
- Maximise the use of the Membership Membership platform (ToucanTech) to improve benefits and services to members, improve administrative efficiency, and support the Board and Working Groups
- Liaise with ToucanTech support team to inform relevant system issues and/or suggestions for improving ESA member experiences and/or administrative improvements
- Respond to membership enquiries received via email, phone or online promptly
- Manage administration of the membership program including membership renewals, new members, member enquiries, member profiles, historical membership data, retention initiatives, membership categories and support member journal access.
- Approve new members and reconcile membership subscriptions into the membership database
- Maintain historical membership numbers in member profiles
- Update membership categories and post live across relevant systems at the start of each financial year
- Ensure automated subscription renewals align with new membership prices
- Update content in membership emails as necessary
- Follow up members whose subscription is in arrears
- Monitor Membership management best practice and liaise with Executive Officer and VP – Membership Services to continually improve membership services
- Provide support to Communications Coordinator to ensure accurate distribution lists for the society.
- Keep abreast of monthly technical changes and updates to the system as appropriate and test or make relevant changes
General
- Electronic and general filing and archiving of records
- Attend (ex-officio) Board meetings for reporting purposes when requested
- Assist the Executive Officer or ESA Board members with other tasks as directed
ESSENTIAL SELECTION CRITERIA
- Demonstrated experience using CRM Software packages, Gsuite and MS Office
- Web development skills within content management platforms
- Ability to analyse data for management information and strategic development
- High-level analytical skills to assess, recommend, and implement innovative solutions and compliance measures regarding data security
- Ability to work with minimal supervision, using sound judgement and problem-solving skills to juggle competing priorities
- Ability to act effectively as part of a team or independently as required.
- Excellent organisational skills including a demonstrated ability to prioritise and execute many tasks in an efficient manner.
- Excellent attention to detail and commitment to quality
- Experience working in a customer service environment

DESIRABLE SELECTION CRITERIA
- Experience with the not-for-profit sector

REMUNERATION
This role:
- Is a paid part-time position, approximately 15 hours/week;
- Is a work from home role
- $38 per hour based on experience
- Includes travel and accommodation to attend the annual ESA Board Planning Day and Annual Conference.
OTHER
- This role works closely with the Executive Officer, Finance Officer and Communications Coordinator to manage the Society’s membership programs and digital platforms;
- Some travel may be required to attend meetings e.g. the annual ESA Board Planning Day, linked to the Annual Conference. Travel and accommodation costs in these circumstances will be covered by ESA.
