The Role

We’re looking for that person who loves getting things done, organising people, attention to detail from admin to scheduling to coordinating logistics. The role will be varied, being split between providing high level administrative and executive support to the CEO and senior management; project administration; and office management. The ideal person needs to be comfortable juggling competing priorities and be able to command all kinds of business and management software. The role also involves liaising with a range of stakeholders including clients, vendors, and senior management teams, as well as the Dog and Bone team! Being able to deal with all kinds of people and represent our Values is an absolute must.

Tenure:

Part Time 0.6-0.8 FTE (hours negotiable). Please note this position offers flexible working arrangements, part-time hours and/or job-sharing opportunities.

Package:

$50-70k p.a. pro-rata dependent on experience plus Super + 5 Weeks leave

You have good communication, time management, technology, customer service and inter-personal skills. You are super organised, can think critically and focus on getting things delivered quickly and succinctly.

Key Responsibilities

  • Provide high level administration support to the CEO and senior management including diary management, meeting support and preparation of proposals, presentations and correspondence
  • Prepare project documentation including project plans, report writing, and documentation formatting and proofing
  • Provide project admin support including scheduling meetings, preparation of minutes & agendas and monitoring of assigned actions
  • Administer project tracking software and prepare draft invoices in line with billing schedules
  • Support internal and external event planning and co-ordination
  • Work closely with the office administrator on management of the office including reception duties, upkeep of the office, and other administration tasks as required

Key Selection Criteria

  • A least two years’ experience in an Executive Assistant, Project Admin, or similar role
  • Ability to engage with, communicate clearly and concisely to a range of stakeholders including clients, vendors, and senior management teams
  • Ability to multi-task and prioritise
  • Advanced MS Office skills with exceptional document formatting skills
  • Excellent report writing and communication skills
  • Can work in high-pressure situations with a range of stakeholders and deliver great outcomes
  • Work independently with light supervision and collaboratively as part of a team
  • Relevant tertiary qualifications and professional learning and development are also valued
