Who we are:

Creativity Australia (www.creativityaustralia.org.au) currently delivers, supports and drives 30 Community choirs all around Australia, with a further 10 planned for 2021. We are building a happier, healthier, more inclusive nation through the life-changing With One Voice program. Our inclusive and welcoming programs bridge the gap between people experiencing disadvantage and those more fortunate through the neuroscientific benefits of community singing. We help alleviate loneliness, social isolation and depression.

The Role:

  • Reporting to the Business and Operations Manager and working with a small but committed and talented team, you will provide administrative support to the With One Voice program and the broader Creativity Australia Organisation.
  • You will manage the content, use and monitoring of our CRM system (Microsoft 365-based)
  • You will assist our Choir programs in all administrative aspects and support and develop processes that allow our 30+ choirs to operate efficiently.
  • You will be responsible for internal choir communications through EDM’s and email
  • You will assist Senior staff to develop Grant and Trust applications and deliver events (large and small) that are of high-quality and appealing, when necessary.
  • You'll join at an exciting period of growth and play a critical role in introducing innovative new ways to connect our growing National footprint and its membership.

Primary Purpose and Responsibilities:

The Membership and Communications Officer is the All-rounder of the Creativity Australia team. You will bring energy, enthusiasm and attention to detail to all administrative processes and our general communications. They will provide support to the other Creativity Australia staff where necessary and be the first port of call for our local choirs where issues arise or questions need answered.

Key Role Responsibilities

All general organisational administration, including;

  • Receiving phone calls
  • Dealing with general enquiries
  • Email management
  • NDIS process management (creating and processing service bookings, creating service agreements, billing and invoicing)
  • Maintenance and updating of key partner document and accurate and timely data entry

Working with all choirs and supporting the member experience processes,

  • Monitoring the choir attendance weekly
  • Ensuring registration processes are completed in a timely and accurate manner
  • Keeping track of membership statistics and figures
  • Supporting all reporting needs

CRM Management

  • Oversee the performance and use of our new Microsoft 365-based CRM system
  • Assist with the delivery of database coaching, support and training to our choir volunteers
  • Monitoring the choirs’ use of the system ensuring data is collected and recorded accurately and promptly
  • Providing feedback to Senior staff regarding the systems effectiveness and identifying issues
  • Assisting with monitoring the separate Membership Portal

General Choir support

  • Assisting with the administration of local choir events and/or performances
  • Attendance at (Melb/Vic) choirs representing CA will also be necessary

Events/ Communications

  • Producing a weekly EDM to all members with important, enlightening and engaging information
  • Providing ideas and occasional content for our general marketing and social media
  • Assisting with our major fundraising initiatives and events

Reporting

  • Providing weekly reporting and updates to the Business and Operations Manager
  • Contributing to grant acquittals, Annual reports and other reporting needs.

Candidate Profile:

Mandatory

  • CRM management experience – preferably with Microsoft 365 platforms
  • High computer literacy and concise reporting skills
  • Excellent verbal, written, interpersonal and presentation skills
  • An ability to understand and manage administrative processes in an efficient manner
  • Experience in the Arts/Community/Events sector
  • Experience in (and/or great enthusiasm for) the facilitation of community arts programs
  • Empathy when dealing with people from diverse cultural, linguistic, religious and socioeconomic backgrounds
  • A results-orientated approach and desire to consistently deliver great outcomes
  • The ability to identify opportunities problem solve creatively and sensitively
  • Adaptable, caring, ‘can-do’ and courageous
  • A team-player and lifelong learner with a growth mindset

Desirable

  • Experience with Xero and accounting packages.
  • Experience in community singing or arts administration
  • Demonstrated skills in graphic design e.g. Adobe suite.
  • Experience working within a National and or Franchised organisation

Compensation:

Salary is negotiable for the right person and of up to $15,900 is available, and we work from a convenient South Melbourne co-working location. Flexible working arrangements are able to be discussed if necessary.

You will have an advantage if you are available to be a part of a handover over some days in the 2 weeks before Christmas. This role is available now.
