I am the Founder and Director of a new organisation called The Creative Co-Operative (CCO).

I am looking for an Executive Assistant, an extremely important role to our growth.

If as founder I am the heart beat of the organisation, you would be the veins to ensure the blood supply is reaching the rest of the body.

About the CCO

We are Australia’s first 100% migrant Woman of Colour-owned, led and operated social enterprise focused on lifting the economic and social access barriers faced by other migrant WoC. We are an agency delivering creative, marketing and digital services for various clients. We also help deliver startup programs. Our client work funds our community work (more about that a bit later).

The CCO is anti-racist and intersectionally feminist.

These are not buzz words, they’re what we drive each day by virtue of the fact that we exist and are unapologetic about who we are, what we do and why.

Maybe you’ve heard of some of our work before as featured in Pro Bono Australia, Bank Australia or Frankie magazine?

We were founded in September 2020 and have worked tirelessly to achieve a lot and we’re building a high performance team to sustain our growth.

Within 6 months we have worked across some incredible organisations and projects, whilst growing exponentially with a great pipeline of work.

We recently completed our first festival, Curious about Culture which generated over $30,000 for the community (as part of our community work).

What you can expect

The job will be exciting but it will be challenging.

This is just the beginning but with such strong traction, we’re only getting busier. It is only becoming more important that I use my time in the best possible way and I would like to hire you to help me navigate this critical time.

Perhaps this role is exactly what you’re after or maybe it would be a stepping stone into a different role in our organisation in the future (Chief of Staff). However, I will need you in this role for at least one year.

You’ll help gate-keep my time, energy and focus by absorbing the inconsistent requests and administrative work that seems to take up so much of my time. Yet, these are tasks that must be effectively completed for the successful growth of our organisations and my effective leadership. Examples of such tasks include performing due diligence / research (around hiring, partnerships, business development, etc) so I can make informed decisions that are in line with the CCO's values, strategy and high performance Ways of Working.

Ensuring the CCO’s bonding and mentoring activities are happening regularly and are both constructive and effective to the happiness, health and productivity of our team.

A high performance approach to work and outcomes mindset has been drilled into me. I would expect that of you too as I do of the rest of the team.

I love to crack jokes and the work is damn fun. So is the culture. I deeply care about the team. They’re not just colleagues, they are family.

However, when it comes to work and getting sh*t done - it is just as important. Quality and performance matters. I expect results. And we achieve them by regularly giving and receiving feedback so we can keep on optimising both individually and as a team.

Last but not least, you feel most at home in a startup or agency and you love the fast pace and constant change, with no two days every being the same.

What I would expect

You understand anti-racism and intersectional feminism.

You will understand my goals and know that if requests are not connected to these goals, they do not come my way. For instance, event invitations or speaker requests because most of them aren’t going to help drive growth and we need to be laser focused on our sustainable growth.

Someone who is calm, highly reliable and dependable, super organised and detail oriented.

You can do admin with your eyes closed so that I am left to focus on my responsibilities as a founder, including strategy and sales.

That I can trust you to manage my calendar, email, phone, contacts, as well as coordinating aspects of both my professional and my personal life.

Someone who takes initiative and searches Google to get answers before asking anyone else.

You’re in the office when I am but you’re also fine to work from home when I do.

What the role looks like

  • One thing is for sure - it will change

  • Agenda management to avoid waste of time

  • Collecting and driving a list of key decisions such as: things to sign, documents to review, important emails, invitations, deadlines, reminders, etc.

  • Making sure all expenses are properly recorded and paid

  • Capturing ideas / to-do list and delegating them to the right party and making sure they’re back to me on time

  • Co-ordinating lunches and dinners with key customers, partners and other stakeholders

  • Social media management - Linked In / Instagram (this too will evolve)

  • Research tasks

  • Taking on random tasks that are important but difficult to complete in between a day fully booked with meetings

  • Booking professional and personal travel

  • Personal tasks like helping with personal purchases / payments, records management
