About us

The Consumer Policy Research Centre is an independent, non-profit, consumer think-tank established by the Victorian Government in 2016. We work closely with policymakers, regulators, academia, industry & the community sector to develop, translate and promote evidence-based research to inform practice and policy change.

About the role

As Executive Assistant, you’ll play a key role providing administrative support to the CEO and the research team with the effective, efficient and friendly running of the office.

Our current Administration Manager will be furthering pursuing her interest in research this year beginning part-time study. This role will work closely with the Administration Manager in the operational management of the office.

Core responsibilities

  • Providing day to day assistance to the CEO, travel and meeting coordination
  • Maintaining the CEO’s diary promptly and accurately as agreed
  • Supporting the CEO to manage workflow and approvals through the organisation
  • Liaise in an appropriate manner with external stakeholders on behalf of the CEO and team members
  • Processing general enquiries via mail, email and phone
  • Contributing to general record keeping, archive management and database maintenance as required
  • Maintaining and updating our stakeholder contact database
  • Working with the Administration Manager ensuring adequate supply of stock, office supplies and relevant requisitions for the office in a timely and cost-effective manner
  • Ensuring filing according to the CPRC system and the CEO’s priorities
  • Working with the Administration Manager, monitoring and administering (some) local contracts with service and goods providers e.g. IT support
  • Providing feedback, suggestion and implementation for administrative process improvement as the need arises in order to gain operational efficiencies
  • Liaising with caterers and venue providers to functions and provide administrative and other support during functions
  • Taking minutes and notes in meetings where required
  • Supporting the CEO, Finance and Administration Manager in administering CPRC compliance obligations
  • Contributing to mail-outs of documents to a wide range of stakeholders
  • Working with the Administration Manager provide Human Resources support in the recruitment and induction of new staff and general Human Resources administration
  • Providing general administrative or program support to the CEO
  • Supporting and contributing to the overall wellbeing of the CPRC team, including preparation of team activities and training activities
  • Other reasonable duties as directed by the CEO.

Key selection criteria

  • Ability to organise, plan ahead and work to deadlines
  • High level communications and interpersonal skills - collaborative, pro-active and can-do approach
  • Initiative and judgment – able to exercise appropriate discretion
  • Demonstrated problem-solving skills
  • Experience working with Office 365, Sharepoint and Salesforce an advantage
  • Experience in report /submission/ letter writing – attention to detail
  • Enjoys working within and supporting small teams
  • A passion for social justice and fair outcomes for consumers

Qualifications and experience

  • Extensive experience managing the diary of a CEO with a significant external and internal activity schedule
  • Extensive experience in small teams
  • Skill and experience in office administration including management of workflow
  • Competence with the Microsoft Office suite and database management, familiarity with Office 365, Sharepoint and Salesforce an advantage
  • Proven capacity to work in a collaborative manner and with sensitivity to a variety of stakeholders
  • Experience liaising with high-level government and industry representatives
  • Experience managing events, meetings and catering
  • Demonstrated ability to contribute to the smooth running of an organisation
  • Experience in producing or contributing to the production of effective publications an advantage

Terms and conditions of employment

  • Hours of work 30 hours per week.
  • Part-time (0.8 FTE), fixed-term 12-month contract
  • A salary of $70,000 – 75,000 pa pro-rata (depending on experience), plus 9.5% superannuation
  • 4 weeks annual leave (pro-rata) with 17.5% leave loading.
