About the Role

The primary function of the Scheduling and Administration Officer is the effective and sustainable management of our aged and disability support workforce across all our delivery areas.

Key Responsibilities

  • Develop ‘best fit' schedules for clients and optimise rosters for workers and the program
  • Utilise the established mechanisms, including client scheduling system, technical solutions, and documentation systems to ensure that rosters are planned and distributed in advance
  • respond to ad hoc changes required by participants and workers by adjusting schedules and systems and communicating with stakeholders daily
  • monitor rosters and schedules to ensure that support is delivered to customers that reflects the customer's current service agreement.
  • roster or schedule direct support, as far as possible, so that it best matches customer and worker in terms of skills, interests and capability.
  • complete end of fortnight timesheet checks for pay roll.
  • Adjust planned rosters and schedules, based on the NDIA plan, service agreement, customer feedback and complaints.
  • Participate in team meeting as required.
  • Actively contribute to continuous quality improvement
  • provide reports to the manager or their delegate as required
  • Learn to complete client notes and documentation as and when required
  • Learn to assist in the collection of data
  • Assist other staff members with administrative tasks when required.
  • Work in a safe manner, adhering to all occupational health and safety (OH&S) requirements and report all hazards and incidents through the organisation’s OH&S processes.
  • Comply with organisational policies and procedures including the Code of Conduct and instrument of delegation.
  • Other duties as directed.

Key selection criteria

Knowledge and Skills

  • Understanding of the not for profit sector and issues related to service delivery in increasingly competitive environments
  • An ability to work both independently and as part of a team
  • An understanding of managing competing priorities and delivering outcomes within agreed time frames and quality standards
  • An understanding of and commitment to the principles of the National Disability Insurance Scheme (NDIS)
  • The ability to work collaboratively and in partnership with a range of stakeholders to optimise a best fit workforce for customers
  • Ability to support organisation-wide initiatives that support Community Accessability's Mission and Values
  • An empathic and engaging verbal communication style accompanied with good telephone etiquette.
  • Understanding of Data Bases and Microsoft Office suite of programs, for example Outlook, Word and Excel
  • Attention to detail & accuracy.
  • Experience handling difficult and sensitive situations.
  • Demonstrated problem solving skills and an ability to think laterally and use initiative
  • High level IT competency including the MS Office Suite.

Qualifications and Experience

Mandatory:

  • Certificate III or IV in Community Services, Disability, Aged Care or equivalent.
  • NDIS Workers Screening Clearance
  • Working With Children Clearance
  • Covid 19 Vaccinated (must be fully vaccinated by 26th November 2021)
  • Current Drivers Licence

Desirable:

  • Have previous experience In the sector.

EMPLOYMENT CONDITIONS

  • Applicants must be an Australian Citizen, Permanent Resident or hold a valid work permit or visa necessary for the nature of the position.
  • All new appointments will be subject to a pre-employment clearance of NDIS Workers Screening, Working with Children Check and a Qualification Check where there is a requirement for a mandatory qualification.
  • All new employees will be subject to a probation period of six months.
  • Employees are covered by the SCHADS Award. The collection and handling of applications and personal information will be consistent with the requirements of the Privacy and Data Protection Act 2014
