We are seeking an experienced Executive Assistant to provide strategic and administrative to support to our Senior Management Team. The EA will have high levels of self-organisation, and a collaborative approach to systems improvement executing tasks in a timely and accurate manner.

- A strong communicator with excellent written and verbal al skills, able to communicate messages clearly to a range of audiences at all levels – both verbally and in writing.
- Strong organisational skills and ability to prioritise work, meet deadlines, and maintains accurate records.
- Skilled in the Microsoft office suite packages (specifically Excel, Word, Outlook and PowerPoint)
- Ability to analyse information, identify trends, and generate strategic insights to inform decision-making.
- Well-developed interpersonal and relationship management skills with the capacity to work as a member of a team and ability to collaborate effectively with all stakeholders.
- Experience of managing conflicting priorities in a fast paced, constantly changing work environment to achieve successful outcomes.
- Discreet & Reliable, able to handle confidential information with integrity and manage sensitive documents securely. Understanding of governance standards and support board functions.
Position key duties
This position oversees the following key duties and responsibilities (this list is not exhaustive):
- Strategic Support: Assist the CEO, Board, and Leadership Team with strategic initiatives and planning sessions including staff meetings, team planning days & promotional events.
- Administrative support: Assist the Management Team including secretarial support, travel arrangements, HR & finance matters, grant funding applications, research and reporting and other duties as directed.
- Communications support: Assist in the development and design of external communications including program materials
- Events and training coordination and support: Assist in the coordination of training events including managing registrations, venue arrangements and technical requirements as well as post-training follow up support including in relation evaluation and reporting
- Governance & Board Support: support the Operations Manager with secretarial duties for the Board, including meeting coordination and preparing board materials.
- Office Coordination: Assist the Practice Manager with co-ordination of Front of House duties and day to day administration operations
- Document Management: Support workflow systems and manage corporate documents confidentially and ensure proper record-keeping.
- Accreditation: Contribute to the continuous improvement of CAWLS processes and procedures & support organisational compliance with the National Association Community Legal Centre’s accreditation program and preparations for re-accreditation.
- OHS Compliance: Support compliance with Occupational Health and Safety relations of the organisation.
- Other duties as delegated by the Senior Management Team.
