About the program

Join our vibrant, faith-based agency providing innovative social care services to children, young people, individuals and families in the Northern Metropolitan Sydney and on the Central Coast.

We are seeking an Executive Assistant to provide proactive and reliable professional administrative support to the Executive Director of CatholicCare Diocese of Broken Bay. The successful candidate will demonstrate exceptional communication skills with a customer service focus.

This position has the unique opportunity to also provide Project related support, which would interest candidates who are looking for the next step in their Career and/or those who are interested in gaining experience into other areas of the business, for example People and Culture projects, assisting in Funding projects for new programs, Marketing/Communications etc...

Some of your responsibilities will include:

  • Providing high quality administrative support to the Executive Director. This could include including preparation of documents and presentations, minute taking, invoice payments, arranging approvals etc.
  • Diary and appointment management, including the organising of large meetings and events
  • Process Management and Process Improvement
  • Providing administration support within projects and management of project milestones
  • Anticipating the professional requirements of the Executive Director, ensuring he is organised and meeting required meetings and/or deadlines
  • Other responsibilities as per attached Position Description

About you

To be considered for this role you will:

  • Have considerable experience supporting a senior manager, ideally within a not-for-profit environment
  • Possess excellent written and verbal communication skills and be able to prepare professional documents and reports with a high degree of accuracy
  • Advanced computer literacy and keyboard skills, including use of all Microsoft Office applications, Advanced PowerPoint, Word, Excel, Outlook, Web based applications
  • Initiative, flexibility, reliability, and the ability to work with excellent attention to detail in a dynamic and high pressure environment
  • You will be highly organised, with effective time management skills and ability to multi-task, prioritise and deliver to deadlines
  • Excellent interpersonal and relationship-building skills, while working collaboratively with a solution-focused approach
  • Other criteria as per attached Position Description                                 

Previous experience working in a Not For Profit organisation, Certificate IV qualification or above in Business Administration (or similar) and/or experience working on projects will be highly regarded.
