About the Role

The Senior Administration Officer - Enabling Services will support a range of administrative and support functions to support several leaders and team members across the department, This includes the Head of People & Culture and our CFO and (as needed) the Director of Strategy & Enabling Services. The role may also work with a number of teams within the Enabling Services Department (including Risk and Compliance, IT etc) as well as a number of other CARE Australia departments.

Key duties of the role will include performing day to day tasks associated with supporting a range of administrative functions and organisational activities, including arranging and coordinating events and meetings, assisting with recruitment and HR administration, supporting the CFO in key project activities, attending meetings and supporting actions and outcomes, creating and updating spreadsheets, documentation, supporting communication activities etc.

The Administrative Coordinator will also support liaison and good communication with external contacts including suppliers, peer networks, job applicants and other relevant enquiries.

Initially, the role will focus on supporting current recruitment activities and current financial project administration, but will also support our accreditation process and other improvement activity as needed.

Key Responsibilities

  • Contributing to the design and implementation of efficient administrative support systems and processes to support ES outcomes and functions
  • Support ad hoc recruitment and HR administration and coordination activities, including organisational wide events or key meetings and forums
  • Provide general administrative support and coordination to the Head of P&C, the CFO and other managers as needed, including
    • creation and management of documentation
    • creation of communication material
    • creation of tracking tools (action tracking and other workflows)
    • coordinating meetings as requested, including producing minutes and actions for each meeting where required.
  • Preparing professional presentations, maintaining document templates, controlling version and document distribution,
  • Providing administrative support for the development of business cases, project plans, documents and reports.
  • Monitoring progress of key Divisional activities and outputs, including designing reporting systems that enable early identification and management of potential issues and ensure strong and robust communication with all key stakeholders
  • Undertake other administrative tasks as requested by the Director Strategy & Enabling Services to support

Ideally you will have:

  • Demonstrated skills in general office administration and the ability to contribute ideas to more effective ways to deliver tasks to meet ongoing operational needs.
  • Demonstrated ability to be organised, efficient and self manage time to ensure urgent and important tasks are complete.
  • Ability to shift data from multiple sources into an easily readable format.
  • Demonstrated proficiency in G-Suite applications, excel and data visualisation tools
  • Clear written and verbal communicator
  • Demonstrated positive, flexible attitude to working effectively in a multidisciplinary and busy environment with minimal supervision.
  • The ability to maintain effective working relationships with cross-functional teams including overseas-based teams.
  • Demonstrated high level organisational and time management skills including the ability to manage workflows and balance competing priorities to ensure timely processing to meet deadlines
  • Strong communication, negotiation and written skills, including the ability to maintain effective working relationships with internal stakeholders
  • Ability to rapidly learn new information as well as to be flexible, agile and responsive to changing organisational or divisional need
