THE OFFICE 

Dr Brad Pettitt is the Greens Member of the Legislative Council for the South Metropolitan Region. His portfolio priorities will be sustainable cities, including transport, planning, housing and homelessness as well as energy, climate change, forests and integrity of Government.

THE POSITION

The Electorate Officer is a dynamic and highly motivated individual with an excellent attention to detail that can manage the office and support the day-to-day essential business of the Member. 

The Electorate Officer ensures the efficient and effective running of the Members’ electorate office and is the main point of contact for the public and manages any volunteers or interns.  They liaise with constituents and manage the Members’ diary, travel, correspondence and report on the office budgets, process expense claims and provide human resources administration support for the office. 

PAY AND CONDITIONS

The position is offered at an Electorate Officer A classification ($ER1 - ER7, $80,452 - $97,994 per annum) 

A three-month probation period will apply.

KEY WORK AREAS

Office Management and Executive Support

  • Manage the Members’ diary, including arranging and preparing for meetings and events
  • Oversee the operation of the Members’ electorate office, including IT systems, contact databases, office supplies, equipment and maintenance 
  • Ensure that the expenditure and reimbursement claims are appropriately collected and reported
  • Undertake OH&S training obligations on behalf of the office
  • Liaise with other MPs offices about diary, correspondence and other issues as required
  • Provide administrative support as required 

Correspondence, Communication and Constituent Liaison

  • Provide the main point of contact for people contacting the Members’ office, 
  • Manage all correspondence both electronic and hardcopy, effectively triaging correspondence and meeting requests in line with the strategic objectives of the office 
  • With the Communications Adviser, develop an integrated Community Response Strategy covering all forms of community contact including but not limited to; email, letters, direct message via the Members’ social media accounts, and comments via the Senator’s social media accounts,
  • Post content to the Members’ social media and website in line with strategic objectives and messaging guide,
  • Help maintain productive working relationships with relevant advocates and NGOs that align with the strategic objectives of the office.
  • With the Research Officer, maintain a database of relevant stakeholders and upcoming issues and opportunities for the Members’ attention with recommended actions

Other duties

  • Attend meetings and public engagements with or, on behalf of the Member, 
  • Some after-hours or weekend work on occasion, and
  • Other duties as required. 

SELECTION CRITERIA

Essential Criteria:

  1. Experience as an executive assistant, managing an office in a high paced and high-profile context and an executive diary with an excellent attention to detail.
  2. Excellent written and verbal communication skills, including the ability to convey complex issues in plain English. 
  3. Well-developed organisational skills including the ability to prioritise and schedule work to ensure the completion of tasks to meet deadlines. 
  4. Strong interpersonal skills, particularly in dealing with complex or confidential issues, and the ability to work with a wide variety of stakeholders. 
  5. Creative and strategic approach to problem solving in the work environment. 

Desirable:

  1. Knowledge of effective constituent liaison, Government and Parliamentary procedures, including the ability to understand the impact and implications of issues and problems which arise in the constituency or parliamentary processes
  2. Ability to organise and promote events.
  3. Competent use of social media and digital communication tools
