About your new role

We have an exciting newly created opportunity for you to join our Residential Aged Care team as our Operations Support Officer. Reporting to the Divisional Manager, Residential Services you will be responsible for provide high-level administrative support to the Residential and Operations Team reporting directly to the Divisional Manager.

As the first point of contact you will act as a gatekeeper for scheduled activities and triage for ad hoc requests. You will also be responsible in liaising between various stakeholders and external bodies to ensure that important tasks get done seamlessly.

You will also be responsible for;

  • Scheduling meetings and workshops as required
  • Taking minutes and promptly assigning actions from meetings, distributing to relevant parties all within the required timeframes
  • Promptly directing questions of staff and other stakeholders to the appropriate SME and following up
  • Providing excellent customer service and maintaining relationships with vendors
  • Preparing and filing documents, compiling, and completing electronic document
  • Supporting senior leaders with recruitment and onboarding processes ensuring compliance
  • Taking inventory and ordering supplies as needed
  • Proactive analysis of operational processes and activities within the RAC operations and forwarding suggestions for improvement to the Manager

All about you

  • Previous experience working in similar executive assistant, office admin support, operational or HR assistant
  • Demonstrated experience in working in an area that require self direction and proactive approach to generating activity WFH or on site
  • High level presentation, written and interpersonal skills, with the ability to engage and develop positive relationships with staff at all levels
  • Strong ICT Skills including experience in the use of Office 365 (essential) and database management with excel
  • Demonstrated high level organisational and administration skills with an ability to maintain documentation accurately and efficiently
  • Personal resilience with an ability to manage competing demands to achieve goals and deadlines
  • Demonstrates initiative with an ability to work collaboratively seeking out others to achieve success
  • Ability to prioritise work and multitask in a busy environment whilst providing a high level of customer service to key stakeholders
  • Flexibility and willingness to initiate new projects and complete them in a timely manner
  • Complete trustworthiness and sound judgement skills in managing sensitive information discretely and confidentially
  • Proven ability to document work and maintain records and efficiently retrieve data quickly

  • Satisfactory Working with Children Check
