POSITION RESPONSIBILITIES:

Program Compliance

  • Coordinate and undertake the completion of Police Checks and Working With Children Check processes for all volunteers participating in Ardoch programs, including follow-up of those outstanding beyond standard timeframes
  • Ensure that relevant databases and/or spreadsheets are updated accurately and in a timely manner
  • Liaise with the Programs Manager regarding actions required in the event of a ‘negative’ notice or a suspension notice being received

Program administration

  • Coordinate catering orders required for Buddies visiting, including ensuring orders and invoices are reconciled and liaise with the accounts officer as required
  • Undertake a range of administrative support tasks that support the coordination and fulfilment of our programs including, but not limited to, for example:
    • Ordering resources for the early years resource boxes
    • Printing and/or delivery of program resource materials
  • Provide technical support for Buddies (virtual) visits and/or volunteer training

Data Collection, Reporting & Administration

  • Provide regular status reports on outstanding Police and Working With Children Checks, highlighting and avoiding bottlenecks
  • Update data as required in relevant spreadsheets or systems to ensure that accurate records are maintained (from mid-2021 this will include Ardoch’s Customer Relationship Management System (Salesforce)
  • Support the upload of compliance data into relevant systems where required

Other Duties as Negotiated and commensurate with role

In addition, this position requires the applicant to demonstrate the following skills:

Essential:

  • Strong project coordination, time-management organisational, administrative, IT and database management skills
  • Exceptional attention to detail
  • Ability to process high volumes of transactional information efficiently
  • Ability to work collaboratively with peers across the organisation

  • Ability to work autonomously as well as within a team

Desirable:

  • Good understanding of compliance processes with respect to working with children
  • Experience in working in high volume, transactional roles in which errors must be minimised
