Informed by our Better health through best evidence vision, the Australian Clinical Trials Alliance (ACTA) promotes effective and value-based healthcare by supporting clinical trials networks and clinical quality registries that generate evidence to inform decisions made by clinicians, policymakers, and patients.

ACTA is funded through memberships and the Medical Research Future Fund, and we are two years into an ambitious program to help grow, strengthen and support the Australian clinical trials and registries sector. We work for or with more than 10,000 clinicians and researchers associated with our member networks and registries.

What we are looking for:

The Project Officer's role supports ACTA’s Working Groups and Special Interest Groups to enable the delivery of diverse projects under ACTA’s annual Activity Plans and progress ACTA’s vision for better health through best evidence.

The role takes direction from the Program & Operations Manager (POM) and works in partnership with the Project & Engagement Manager and Senior Project Officer(s) to provide support under agreed priorities and timelines.

Key Responsibilities:

  • Provide project, operational and administrative support to the POM, Project & Engagement Manager and Senior Project Manager, including scheduling meetings, workshops and webinars.
  • Provide secretariat support to ACTA’s Working and Special Interest Groups, supporting the planning and delivery of meetings, and prepare a range of documents, including minutes, routine correspondence, reports and briefings.
  • Adhere to ACTA’s policies and procedures and assist with establishing and maintaining project administration systems and processes, databases and registers, including document control.
  • Contribute to the development of the Working Groups’ Activity Plans and Project Team initiatives, informed by the ACTA Strategic Plan.
  • Provide written and verbal reports, including the collation of budget and expenditure data, to the POM on progress against the Activity Plan.
  • Respond to stakeholder requests, assisting with solving problems and communicating advice effectively.
  • Contribute to the execution of consultation processes, research activities, literature reviews, policies, tools and implementation plans, and ensure all work is completed to a high standard.
  • Contribute to the planning and monitoring tender processes and contracts with external service providers or collaborators contributing to the Activity Plan.
  • Contribute to the preparation of ACTA’s published documents and other materials such as policy statements, website content, annual reports, newsletters, research reports and presentations.
  • Support the successful management of ACTA events, including conferences, training events, meetings and workshops.

Term: This is a 12-month fixed-term position with a potential extension.

SELECTION CRITERIA:

Required Qualifications, Skills and Experience:

  • Tertiary qualifications in health science, project management or equivalent experience. May suit people with backgrounds in public policy, health policy, allied health, health economics, clinical or population research or business administration.
  • Demonstrated project administration experience (minimum two years) as a policy or project officer or assistant in a similar role in a health-related sector.
  • Well-developed planning and organisational skills.
  • Strong written and verbal communication skills with an eye for detail, including collaborating with content experts and conveying complex technical information succinctly.
  • Committee secretariat support experience.
  • Experience preparing reports, policies, guidelines, and similar documents in the health sphere.
  • Ability to work with key team members and stakeholders and develop excellent working relationships, both internal and external, to achieve deliverables.
  • Ability to work independently under supervision to ensure delivery of outputs to a high standard and in line with agreed deadlines.
