Outline & Purpose of Role:

Australia for UNHCR is an international aid agency that raises funds from Australian donors to support the humanitarian operations of the UN Refugee Agency. Established in 2000 as part of a global fundraising network it has now raised more than $370 million from a broad network of individuals, community and corporate partners.

We are looking for a flexible, motivated and organised Program Assistant to join our committed and supportive Face to Face (F2F) Fundraising operations team. This role provides valuable assistance across the team to support effective and efficient delivery of our F2F program. The primary focus of this position is to organise fortnightly recruitment drives, prepare weekly payrolls and coordinate each campaign’s locations strategy, including arranging travel, to support each city’s respective Campaign Manager and our fundraising teams in achieving targets.

Key Responsibilities:

Reporting to the Face to Face Coordinator, the Face to Face Program Assistant is responsible for:

  • Liaising with Campaign Managers and assessing fundraiser recruitment needs on a weekly basis
  • Screening fundraiser candidate applications and conducting phone interviews
  • Organising all administrative elements of the interview, induction and on-boarding processes for fundraisers
  • Executing the locations strategy for all campaigns in conjunction with the F2F Coordinator and Campaign Managers
  • Coordinating shopping centre and other private location bookings including developing relationships with centre managements, ensuring compliance and adherence to budget
  • Applying for council permits including developing relationships with local councils ensuring compliance
  • Organising travel around the country - planning, researching, applying for permits, booking accommodation and handling any issues that arise before or throughout the duration of the trips, and managing relationships with account managers of accommodation, car hire, and flight providers
  • Producing weekly payroll summaries and bonus reporting for each campaign as required
  • Completing monthly credit card reconciliation
  • Providing general administration support to the F2F management team, as required

  • Ability to manage time, set priorities and plan workload to meet objectives, meet deadlines within available timeframes, and work under pressure
  • Ability to collaborate with others to achieve agreed results and outcomes
  • Ability to work both independently and as an effective team member
  • Positive phone manner with the confidence to negotiate
  • Well-developed oral and written communication skills
  • Proficient in the use of Microsoft Office programs
  • Ability to work within budgets

Desirable

  • Previous employment in sector, and/or Face to Face fundraising
  • Previous experience in recruitment or booking travel
