We have an opportunity for an enthusiastic, experienced Administration Officer to provide high quality administrative support and deliver administration services for the Area Manager and their teams.

What success looks like:

  • Administrative support to the Area Manager and designated Support Services teams are delivered efficiently and effectively to minimise administrative work undertaken at services or by the Area Manager
  • Administrative tasks are completed with a high degree of accuracy and professionalism, in a timely manner and in alignment with business process KPI's.
  • High level of customer service provided to internal and external stakeholders
  • Collate information and prepare reports as required
  • Support the successful facilitation of meetings, information sessions and public functions
  • Supporting regional teams with ensuring consistent approach to information collection, electronic filing & physical archiving to comply with state and federal legislation and Aruma Policy and Procedures
  • Supporting regional teams with administrative tasks that assist in actioning and implementing system and process improvements where identified by Quality Service Reviews and continuous improvement feedback.
  • Managing and tracking resources
  • Ensuring that all Work Health & Safety requirements are met in respect to people attending the office
  • Undertaking reception duties and overseeing the smooth running of the Toowong Office

A day in the life of an Administration Officer...

  • Answer general enquiries using a professional and courteous manner and direct enquiries to the appropriate staff members where applicable
  • Greet customers/suppliers/visitors/staff in a professional and friendly manner
  • Respond promptly and accurately to requests for general information based on an understanding of the work area's priorities
  • Coordinate incoming and outgoing mail, faxes, and courier deliveries
  • Use relevant business systems to meet reporting and administrative requirements
  • Forward incoming general e-mails and voice mail to the appropriate staff members
  • Purchase, receive and store the office supplies ensuring that basic supplies are always available
  • Code and file material/documentation according to Aruma procedures ensuring that files are maintained with a high level of accuracy
  • Update and ensure the accuracy of relevant databases/spreadsheets
  • Provide administrative support to management and other office-based staff
  • Make travel, meeting and other arrangements
  • Coordinate the maintenance of office equipment
  • Assess problems and faults and take corrective action, including contacting repairers
  • Adhere to organisation policies & procedures and all relevant government legislation and relevant standards
  • Provide support to Area Manager and their teams as required
  • Use available systems to extract data from multiple sources, and assembles into standard formats for analysis
  • Assist managers with petty cash reconciliation
  • Manage Promaster process, scanning receipts and submitting expenses online
  • Assist with house accounts
  • Assist to coordinate vehicle inspections, repairs and servicing
  • Assist to coordinate property inspections
  • Order supplies for services where applicable e.g. bulk ordering of groceries or supplies

What you need to be successful in this role...

  • Excellent communication (written and verbal) and interpersonal skills, with the ability to communicate effectively with people at all levels
  • Advanced computer literacy and confidence and capability in using systems and technology
  • Strong administrative skills
  • Good level of numeracy and literacy
