About the position

We have an exciting opportunity available for a Executive Assistant to join our Indigenous Policy and Programs team. Key responsibilities include, but are not limited to:

  • Providing confidential and high-level support for the Director of Indigenous Policy and Programs, including managing the diary, coordinating travel, coordinating work deadlines and identifying priorities, drafting/summarising/proofreading reports, agendas, briefing papers, presentations, and correspondence.
  • Providing secretariat support to the AMC Aboriginal and/or Torres Strait Islander and Māori Committee and working parties, including meeting scheduling, preparing meeting materials, coordinating coordination, delivering and following-up post meeting activities.
  • Manage the process of progress reporting by other AMC Committees to the AMC Aboriginal, Torres Strait Islander and Māori Committee, including working closely with other staff and stakeholders before, during and after submission of reports and committee decisions.
  • Supporting the wider team in the maintenance of the team workplan, events and committee meetings including organising meetings, providing, formatting, proofing and collating agenda material, taking minutes and preparing the draft minutes, raising and tracking of invoicing.

About you

You demonstrate alignment to the AMC's core values, possess a sound understanding of Cultural Safety and promote Cultural Safe practice in your work and workplace. You also possess:

  • Strong interpersonal skills, including consultation and negotiation skills necessary to support an Executive.
  • The ability to work within a small team and with limited supervision.
  • Demonstrated high level analytical and problem-solving skills including the ability to make and facilitate decisions and recommendations relevant to a wide range of business operations.
  • A strong attention to detail, with exceptional time management and organisational skills to ensure deadlines are met.
  • The ability to adapt and respond to rapidly changing priorities and demands in a complex environment.
  • Excellent writing, editing and proofreading skills/experience.
  • The ability to communicate clearly, effectively and succinctly both verbally and in written formats.
  • The ability to prepare reports, presentations and briefs for a variety of audiences.
