About the opportunity

We are currently looking to appoint a Receptionist / Front Office Administrator at our Minchinbury Head Office on an initial 6-month contract with possibility to extend.

Our front end Reception/ Administration position is a fast paced and varied role where you will be the face of our organisation. Some of the core responsibilities will include, but not be limited to:

  • Provide a polite, efficient and informative contact point to all internal and external employees, clients and customers.
  • Answer all telephone calls promptly and courteously, providing accurate information to callers.
  • Ensure messages are taken and forwarded via email to the correct person within the organisation.
  • Purchase order processing.
  • Assist with Head Office car fleet purchases and administration, including the pool car roster.
  • Maintain and update reception operating manuals.
  • Co-ordinate the organisation's mail, both incoming and outgoing, and sort into departmental allocation.
  • Stationery and kitchen supplies ordering.
  • Board room and meeting room set-up, including catering as required.
  • Afternoon clean-up of kitchen, including running dishwasher, wiping down counters, replenishing biscuits etc.
  • Co-ordinate through facility management to ensure the building entry and the security system is working efficiently.
  • Ensure locking procedures for the front door are completed daily.

About the candidate

In order to be considered for this opportunity within the organisation, you will need to possess relevant administration/ reception experience and a can do attitude. We are also looking for the following;

  • Professional, pleasant manner, both face to face as well as over the telephone.
  • Ability to multi-task in a high volume environment.
  • Highly effective and clear communication skills - both written and verbal.
  • Strong prioritisation skills.
  • High level of computer literacy - Word, Excel, PowerPoint and Publisher.
  • Available to start as soon as possible
