BACKGROUND

Since 1987, ACES has been providing programs and services to Aboriginal Elders. ACES was incorporated under the Associations Incorporation Act (1981) and have a Board of Management made up of elected community members.

In the Australian context, ACES is unique in being both Aboriginal-run and specialising in provision of both planned activity group and residential aged care services. At ACES culture is recognised as central to individual and community health. Further the integration of a range of programs on the site ensures continuity in the assessment and delivery of appropriate care to Aboriginal elders in a culturally appropriate environment as they age.

Amidst the hustle and bustle of East Brunswick, the Caring Place nestles in the serenity of lush, well maintained, bush-like gardens and the Merri Creek. The setting provides Residents with a friendly, relaxed culturally relevant home-like environment which is important to their health and well-being.

Purpose:

HACC/PAG Volunteer Program Co-ordinator plays a vital role by driving our volunteer management program and providing ongoing support to volunteers. They also become the main point of contact for our volunteers.

A Volunteer Program Co-ordinator recognises the importance of volunteers to the organisation, and the importance of planning ongoing volunteer management. It also helps volunteers feel satisfied that they are making an important contribution.

A key role for the Volunteer Program Co-ordinator is matching the skills, experiences and expectations of volunteers to available positions.

Ensure that Elders receive quality, culturally appropriate and engaging services.

KEY RESPONSIBILITIES:

Recruitment and selection of volunteers

  • Working out how many volunteers are needed and for what roles.
  • Developing position descriptions for each role
  • Planning how and where to recruit volunteers and posting adverts
  • Interviewing volunteers
  • Completing relevance checks (like a police check or working with children check)
  • Planning for volunteer retention and replacement
  • Developing policies and procedures.

Orientation

  • Developing an orientation kit, volunteer handbook or introductory programs
  • Evaluating the orientation program
  • Presenting or managing the orientation for all new starters
  • Providing training or demonstrations in use of office equipment or specific tools

Training and Development

  • Arranging training and education opportunities
  • Conducting performance review or evaluation
  • Conducting a skills audit or organisational review.

Rewards and recognition

  • Developing ways to recognise and reward volunteer efforts
  • Promoting the recognition program
  • Managing volunteer communications such as social functions, newsletters or social media.

Management

  • Helping volunteers feel welcome and supported
  • Developing and managing policies, procedures and standards for volunteers
  • Looking after the volunteer database and records
  • Planning and goal setting
  • Rostering and organising volunteers
  • Delegating projects and tasks
  • Managing any associated budgets and expenditure
  • Communicating with people from diverse backgrounds
  • Resolving conflict or managing the grievance process
  • Writing a report on the volunteer program and given to the PAG Supervisor who will present it at ACES regular Managers Meetings/Quality Meetings.

Workplace safety

  • Identifying risks and understanding their impact
  • Developing policies and procedures that will eliminate or reduce those risks
  • Implementing, promoting and evaluating these policies and procedures

General

  • Assist with mobility of clients during activities where required
  • Assist with transport as required
  • Assist with preparation of meals and tea breaks, including cleaning up after meals, following food guidelines

Program Delivery

  • Ensure day to day implementation of the program, under the direction of the Senior PAG Assistant, including setting up of activities, running of activities, assistance with meals, and completing attendance records etc.
  • In conjunction with the Senior PAG Assistant contribute to the planning, development, implementation and evaluation of program activities.
  • Participate in team meetings, staff and service development strategies

Participants’ Development and Safety

  • Exhibit positive behaviour and non-judgmental manner
  • Promote independence and self-esteem through encouraging participant decision-making
  • Ensure materials and equipment used by participants are safe
  • Develop and support a fun environment
  • Provide personal care for participants as required
  • Maintain an awareness of participants whereabouts during activities with a specified focus on outings, at all times, to ensure participant safety

Administration

  • Complete and maintain client and administrative records.

Other

  • Comply with the Code of Conduct; OHS; Equal Opportunity and other ACES policies and procedures.
  • Contribute to relevant activities as directed by the PAG Supervisor.
  • Undertake training and development in consultation with the PAG Supervisor.
  • Demonstrated commitment to Occupational Health and Safety
  • Submit accurate timesheets
  • Attend staff meetings when required
  • Staff and client confidentiality is to be monitored at all times.
  • Contribute ideas and participate in strategies pertaining to continuous improvement

Accountabilities

  • The worker is to report to the PAG Supervisor and the CEO.

KEY SELECTION CRITERIA

Essential

  • Demonstrated knowledge and understanding of Aboriginal culture and values; and ability to work and communicate effectively with Aboriginal people.
  • Ability to relate to Aboriginal Elders with a caring and respectful approach, in an equal and non judgmental manner.
  • Possession of the following certificates or ability to complete recognised courses:
  • Certificate 3 in Aged Care or Certificate 3 in HACC
  • Current level 2 first aid certificate
  • Safe Food Handling certificate
  • Relevant experience in the care of frail aged people, people with dementia or a disability
  • Good communication skills including oral and written
  • Ability to conduct; review and evaluate activities and programs
  • Ability to work as part of a small team, within the framework of the philosophy and principles of ACES.
  • Current Victorian drivers licence
  • Appointment is subject to satisfactory completion of a police check
