About the Role

International activities

The Academy facilitates Australia’s access to global science and technology, promotes strategic partnerships between Australian and overseas researchers, and contributes Australian expertise and leadership in regional and global science networks.

Awards

Central to the purpose of the Academy is the recognition and support of outstanding contributions to the advancement of science, via awards for early, mid and career level; as well as grants and lectures that support scientists to undertake research projects; and sponsorship of research conferences on rapidly developing fields of research.

The International Programs and Awards Administration Officer provides high-level administrative support to the Academy’s Director-International to promote Australia’s International engagement by administering funded research grant and fellowship programs, and the Awards Manager to assist in the delivery of an annual program of Awards and related events.

This position is part of a small, close-knit team, with shared responsibilities, where collaboration and engagement with the rest of the organisation, including Academy Fellows, as well as many external stakeholders across Australia and globally, is essential. The position is available on a two-year fixed term contract with the possibility of extension.

Duties and Responsibilities

Reporting to the Director International Programs and Awards

  1. Promote Australia’s International engagement by providing support to Australian government departments by administering the grant activities and requests. Including, but not limited to; opening calls for applications, disseminating information to mailing lists and research office contact list, processing received applications and nominations, data entry in Academy’s SRM, drafting award letters and communicating results to applicants, managing successful recipient payments and reporting requirements, drafting grant reports for government departments.
  2. Assist the Awards Manager to manage honorific, research, travel and conference awards, including the processing, management and administration of applications for these activities.
  3. Provide administrative and secretariat support to awards committees throughout the assessment process, including liaising with internal and external stakeholders, organising application and nomination material for committee review, facilitating access for committee members, preparation of committee templates and coordinating committee deliberation teleconference meetings.
  4. Assist the Awards Manager, and work with the Academy events team, to organise, manage and coordinate award events, such as lectures, award dinners and other awards related events.
  5. Assist with Awards administrative tasks, including taking minutes of committee meetings, and managing nomination and dissemination of non-Academy awards to the community. Maintain and update the external awards webpage.
  6. Draft monthly newsletter content and P Paper inclusions, highlighting achievements and new programs for the Grants and Exchanges area.
  7. Other duties as required, including sharing duties with other staff from time to time.

Qualifications and Experience

  • Formal relevant qualifications (essential)
  • Proven administration and organisational experience
  • Experience working with international stakeholders or programs is highly desirable
  • Experience working in management of awards is desirable

  • Demonstrated ability to provide high level administrative support and program coordination
  • Strong attention to detail, organisational capability and ability to manage competing priorities
  • Excellent stakeholder engagement skills and be able to interact with a diverse range of people, including overseas stakeholders
  • Excellent written communications skills and ability to draft complex written materials
