  • Full time role based in our centre in Kew - to be worked between 7am-3pm (or, if preferred, between 7.30am to 3.30pm) Monday to Friday
  • Reports to General Manager
  • Works closely with the management team, office & clinical staff and families

KEY RESPONSIBILITIES AND DUTIES OF THE ROLE INCLUDE:

  • Providing payroll, invoicing and administrative finance support including the processing of fortnightly pay and quarterly portable long service leave submissions, issuing client invoices, processing supplier invoice payments, reconciling receipts with accounts and coordinating external audit of annual accounts
  • Providing administrative support to the Chief Executive Officer, Clinical Director and General Manager and ensuring the smooth running of the office, including taking responsibility for office phone calls, emails, mail and deliveries
  • Liaising with facility management vendors, including cleaning, catering and security services and coordinating with the external IT department on all office equipment
  • Coordinating daily cancellations and roster changes with handover to the Practice Manager

SELECTION CRITERIA

  • Proven experience as an office manager, front office manager, administrative assistant, bookkeeper and or finance assistant
  • High School degree; additional trade certification in Business Administration or accounting qualification is desirable
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel, SharePoint and MS Outlook, in particular)
  • Hands-on experience with office machines (e.g. fax machines and printers)
  • Excellent planning and time management skills and ability to multi-task and prioritise work
  • Excellent written and verbal communication skills
  • Attention to detail, problem-solving skills and a creative mind with an ability to suggest improvements
