This position has responsibility for key administrative tasks including data base management, filing, purchasing, mail and publications. Key relationships are with Finance, staff and volunteers in the Camberwell and Ashburton offices and the General Manager Community to whom the position is responsible. This position manages a part time receptionist who supports an evening counselling clinic.

Key responsibilities of the position include:

  • Assisting in the development of effective administrative systems, e.g. reception, file and data management
  • Managing mail collection and distribution, including internal mail between the sites and generic email address - camcare @camcare
  • Timely and discreet maintenance of client and administrative files and databases
  • Timely lodgement of data to funding bodies (e.g. IRIS to DHHS)
  • Purchasing supplies for staff kitchen, stationery and printers
  • Maintaining up-to-date and comprehensive records of all donors, sponsors and transactions.
  • Managing the marketing/fundraising data base (Donman) and maintaining current records of Camcare’s marketing, fundraising and public relations projects and events, generating correspondence, receipts, reports and mail outs within agreed timelines
  • Assistance in running events for donors and ensure planned events are supported efficiently

Skills and Experience

The ideal candidate will have minimum 5 year of experience in a similar setting with excellent administrative skills, initiative and enthusiasm for working in a community services organisation. Proficiency in Microsoft Office and relevant software applications is required.
