Position Summary

We are seeking a motivated and proactive worker who is committed and passionate in supporting volunteers to achieve positive outcomes.

The successful application will have great people skills and a level of maturity and empathy to work collaboratively within our team and in supporting our 120 volunteers and the community. This is a fast-paced role that is suited to a person who is an excellent communicator with great time management skills and can easily work across the roles of front desk administration and volunteer coordination to achieve productive outcomes every day.

Position Duties General

  • Answer and direct phone calls
  • Organise and schedule appointments
  • Provide general support to all clients
  • Write and distribute emails and correspondence
  • Attention to detail and problem solving skills
  • Proficiency in Word, Excel, Google Suite
  • Ability to manage competing demands
  • Experience in creating and maintaining schedules, accurate records and monitoring work flows
  • Demonstrated ability to work as part of a small team
  • Provide general support to all clients
  • Excellent time management skills
  • Collect and collate statistics
  • Prepare monthly reports
  • Attend network meetings
  • Maintain electronic filing system
  • Well developed written and verbal communication skills
  • Update social media platforms
  • Participate in and oversee student placements
  • Adhere to all Policies and Procedures of Hills Community Aid
  • Attend monthly team meetings and other organisational development days as required
  • In conjunction with the Executive Office, develop and implement systems to enhance all the Safe Communities Role.
  • Participate in the development and review of organisational Policies and Procedures
  • Be an active team member, sharing responsibilities, skills and information
  • Ensure a clean and safe workspace
  • Carry out other duties as required by the Executive Officer or Board of Governance

Person Specification

  • Relevant qualifications or demonstrated industry experience to coordinate volunteers for a community organisation
  • Strong strategic planning, administrative and organisation skills
  • Knowledge of the current National Volunteers Standards
  • Commitment to work with all volunteers and clients including marginalised people in the community
  • Excellent people skills
  • Excellent communication skills
  • Exceptional presentation and customer service skills
  • Capacity to work flexible hours as requested and required
  • Current NSW drivers licence, own registered and insured vehicle
  • Working with Children Check
  • Current Police Check

Position Goals

  • To coordinator and support our 120 volunteers
  • Assess the organisations needs and recruit volunteers to support the ongoing delivery of all programs
  • Support all volunteers with ongoing training and supervision
  • Develop external relationships with relevant stakeholders and partners to identify opportunities to support and extend the volunteer program
