Architects without Frontiers Australia (AWF) is looking for a dedicated and enthusiastic person to join our team and play a vital role in ensuring the future growth and excellence of the organisation. AWF has enjoyed a fantastic period of growth and change in recent years, mostly due to the support of our dedicated Partner Network. We are keen to see this positive momentum maintained and increased.

The AWF Coordinator will have a large role in managing the day to day operations of the organisation along with contributing to higher level strategic planning around expanding our reach and impact. They will also provide guidance and identify challenges and opportunities to improve efficiency across the organisation.

The role will report directly to the Founding Director, Chair and the AWF Board.

Key duties & responsibilities:

Planning and administration:

  • Undertake the general administrative functions of the organisation
  • Communicate and report clearly with AWF management and governance
  • Produce and review key internal documents and contribute to strategic planning
  • Maintain general oversight and ensure accuracy of compliance and governance
  • Be responsible for logistics and scribing of board meetings, including collation and distribution of documents
  • Be responsible for scheduling of weekly team meetings with the Founding Director and Project Managers, including prioritisation of activities
  • Assist in development of processes and tools to increase company efficiency and risk management
  • Assist in producing key governance documents such as briefings and policies and marketing materials/PowerPoints


  • Assist the Founding Director in maintaining and managing relationships with the Partner Network, including managing supporter agreements, organising network events and maintaining communications
  • Identify, secure and foster new partnership opportunities in collaboration with the Founding Director
  • Co-ordinate the identification and invitation of potential future supporters of AWF


  • Listen, understand and document client (individual, group) needs and sensitively manage client expectations
  • For new and potential projects, understand, research and work with client to formulate an initial brief and project overview
  • Meet with Project Managers to understand, support their work and report to Board project activities and updates
  • Assist Project Managers to coordinate with clients, communities and Partners and ensure appropriate levels of transparency and collective input
  • Maintain relationship with former clients, projects and communities

Grants and fundraising:

  • Investigate opportunities, coordinate timetabling and prepare submissions for grants and other fundraising prospects


  • Identify and build relationships with key stakeholders in the NGO sector
  • Support the Founding Director in preparing and coordinating industry talks, presentations and external events
  • Understand and respond to relevant global calendar of events, conferences and topics


  • Create and update high quality marketing material for external documents
  • Develop and circulate newsletters, invitations, and marketing campaigns
  • Develop graphic design and social media content
  • Photography and editing of photos of events, projects, activities
  • Prepare and disseminate high quality written communication on various AWF platforms
  • Manage AWF social media and website to promote projects, clients, partner and stories
  • Create presentations for AWF events and talks
  • Produce annual report

Selection criteria:

  • Previous experience in the Not-For-Profit, community and/ or humanitarian sector with an understanding of compliance requirements under the Australian Charities and Not for Profit Commission
  • Previous experience reporting to a volunteer board
  • Possible experience working in a design not for profit organisation
  • Strong leadership qualities, including strategic thinking and ability to inspire others
  • Outstanding stakeholder engagement and relationship management skills
  • Ability to develop and oversee coordination of complex and multiple plans and timelines
  • Excellent written and verbal communication and presentation skills
  • Experience working in cross cultural settings nationally and internationally with marginalised groups
  • Strong skills in the Adobe Suite: Acrobat, InDesign, Illustrator and Photoshop,
  • Strong skills in Microsoft Suite: Word, Excel, PowerPoint
  • Ability to be flexible and adaptable with allocating time to tasks and work autonomously
  • Event management experience

PROJECTS: Through a range of culturally sensitive and environmentally sustainable projects, Architects without Frontiers has helped change the lives of over 3000 people in five significant ways. We have:

  • Delivered 39 health, education and community projects in 14 countries 2. Collaborated with 35 communities to improve their social and physical infrastructure
  • Partnered with 60 Australian architects in delivering pro-bono design services
  • Helped to facilitate funding for 20 projects for communities in need, in partnership with agencies including the Department of Foreign Affairs and Trade, City of Melbourne, Northern Territory Government, ARUP, Cotton On Foundation and RMIT University
  • Trained 80 Australian architects to work in the humanitarian sector, in association with the Australian Red Cross and Australian Institute of Architects
