Position Overview

Location: Remote / Work-from-home

Duration: 12-month contract (3-month probation period) with the opportunity for extension

Hours: Part-time: 15 hours/week, with some flexibility

Classification: Clerks Private Sector Award [MA000002] Level 4 (approx. $57,400FTE)

We are seeking an experienced and highly organised administrative professional to join the Animal Justice Party on a part-time, working-from-home basis.

As the National Administrative Assistant, you will play a pivotal role in ensuring the smooth functioning of administrative operations at a national level for the Animal Justice Party. Your contributions will directly impact our ability to advance our mission of advocating for animal welfare through efficient and effective day-to-day support.

As this is a new role and key tasks and responsibilities may evolve over time, this position requires adaptability.

Key Tasks and Responsibilities

  • Provide comprehensive administrative support, assisting with various day-to-day office duties and the implementation of operational processes and procedures;
  • Coordinate meetings, including scheduling and preparation of meeting materials and supporting the Annual General Meeting;
  • Take accurate meeting minutes;
  • Create, update and maintain accurate records and documentation including databases, files, policies, procedures and registers;
  • Manage correspondence and regularly prepare, format and proofread internal and external communications;
  • Undertake basic financial administration tasks, including routine banking and processing invoices;
  • Coordinate internal policy review and contribute to policy development as needed;
  • Implement and improve HR procedures and training and development activities, including recruitment, onboarding and offboarding;
  • Identify opportunities for process improvement, contributing ideas to foster continuous improvement and operational efficiency;
  • Provide reports as directed; and
  • Regularly support other initiatives and projects as needed, which may include marketing and media efforts, fundraising campaigns, IT-related tasks and more.

Key selection criteria

  • Previous experience in a similar role with demonstrated administration and organisation skills, such as effectively managing records and coordinating meetings to ensure smooth operations;
  • Excellent written and verbal communication skills, with experience creating written content to a high standard and in line with organisational messaging;
  • A genuine commitment to delivering high-quality work, including demonstrated attention to detail;
  • A proven track record of exceeding goals, such as identifying and implementing process improvements that enhance organisational efficiency;
  • Expertise in multitasking and prioritising tasks, demonstrated by managing competing demands and consistently meeting deadlines;
  • A proactive and initiative-driven approach, exemplified by taking ownership of projects and contributing ideas for improvement; and
  • Experience in dealing with confidential information, and demonstrated capacity to maintain professional standards of behaviour in difficult and sensitive circumstances.

Desirable experience

Applicants with experience and/or skills in one or more of these areas will have an advantage:

  • Marketing and media, including social media and graphic design.
  • Fundraising initiatives.
  • Advocacy and campaigns.
  • I.T., including CRM management.
  • Experience working in a membership-based organisation and/or within a political context.

A Selection Panel will interview selected applicants and make a recommendation for appointment of the successful applicant to the Board of Directors.

All Animal Justice Party employees are expected to sign a Code of Conduct, Confidentiality and Non-Disclosure Agreement and Employee Handbook. All employees must also be willing to undergo a National Police Check prior to commencing work.
