PURPOSE AND VISION

We are a not-for-profit, GP led mobile medical service for those who are vulnerable or experiencing homelessness.

We collaborate with pre-existing homelessness charities, shelters, and services to provide primary healthcare specifically for this cohort.

Currently operating from several sites across Sydney on a regular weekly basis (with plans to grow interstate in the near future), each clinic is staffed by skilled volunteers who work from a well-equipped mobile medical van, providing a primary health care service to the standard of a normal General Practice.

Our Vision is to deliver better health and wellbeing outcomes for people who are vulnerable or experiencing homelessness.

Street Side Medics is a Registered Charity and is largely volunteer run.

ABOUT YOU

You are someone that takes initiative and are able to identify areas for operational improvement; getting stuck in to solve problems before others even pick them up. As the main gateway for communications into the organisation you are both friendly and professional.

You are organised and enjoy helping others to get organised whilst managing those important day to day administrative tasks that help any office and organisation run more effectively and efficiently. You believe the workplace is somewhere that employees should enjoy coming to and are able to help create that environment for all.

You understand that Street Side Medics is in a growth phase and is in the early years of the organisation and are motivated by being a critical part of embedding and/or establishing policies, procedures and the culture of the organisation for the future alongside the small HQ team and hundreds of volunteers.

POSITION SUMMARY

Street Side Medics is expanding its services and is looking for an experienced and passionate professional that will oversee and coordinate the day-to-day administrative activities of the office and organisation. The Administration and Office Manager will play a crucial role in supporting the CEO and small team to ensure the smooth functioning of the office.

KEY RESPONSIBILITIES

  • Implement streamlined administrative processes creating efficiencies in day to day operations
  • Develop and maintain comprehensive administrative systems, ensuring accurate and up-to-date record-keeping and documentation.
  • Coordinating and preparing reports, correspondence and communications both internally and externally in conjunction with other key roles
  • Support the CEO and other staff in the development and implementation of key organisational policies and procedures
  • Assist in the recruitment and onboarding of volunteers and staff
  • Create, proof read and/or edit and format papers, report, funding acquittals and presentations
  • Maintain strict confidentiality and discretion in handling sensitive matters.
  • Utilising Xero to support with basic bookkeeping and financial administration tasks
  • Other administrative tasks including the ordering supplies, printing, compiling booklets, maintaining accurate records across management software platforms, merchandise and uniform managements etc

EXPERIENCE, KNOWLEDGE AND SKILLS

  • Demonstrate meticulous attention to detail in drafting, editing, and formatting documents, reflecting professionalism and accuracy.
  • Bachelor’s degree/Diploma in business administration, or related field are preferred but not essential
  • Excellent communication and interpersonal skills
  • Superb interpersonal skills whilst contributing to a positive working environment
  • Demonstrated ability to communicate effectively across client, community and professional groups inclusive of skills to negotiate and manage conflicts which arise
  • Detail-oriented approach with ability to work under pressure to meet deadlines
  • Ability to operate independently and with initiative
  • NSW Drivers License Class C
  • Excellent written and verbal communication skills
  • Strong organisational and time management abilities
  • Intermediate to Advance Level in the Microsoft suite of products (Outlook, Word and Excel).
  • Experience in accounting and other management systems and software such as Xero’s in
