About the Role

The Skilling Queenslander for Work initiative is funded by the Queensland State Government to drive job growth and strengthen the performance of the Queensland economy by improving skills development and work opportunities for disadvantaged Queenslanders.The Skilling Queenslanders for Work (SQW) Intake Administrator is responsible for intake and administration duties for specified SQW programs.This role will support the SQW Coordinator with intake enquiries, assist with scheduling events, training sessions, coordinating lesson preparation materials and associated administrative tasks as required.

The Skilling Queenslanders for Work (SQW) Intake Administrator is responsible for ensuring all participant registrations are completed, eligibility is confirmed registrations are recorded on the SQW portal and progress is updated monthly as per guidelines.

This position may be the first point of contact for all participants, stakeholders and employers as you will manage the generic SQW email for all active programs.

The SQW Intake Administrator also provides additional program support, site support, and administrative support as required and directed by the Program Manager.

Key Responsibilities not limited to:

  • Act as Email Administrator for all SQW programs and direct enquiries to appropriate team.
  • Manage all enrolment procedures ensuring participant eligibility prior to commencement of program.
  • Ensure all administration activities are completed, uploaded and tracked on ICMS for each program as per guidelines.
  • Assist with reception and office duties such as answering phone calls, responding to enquiries, and coordinate site visitors as required.
  • Liaise with SQW Coordinators re participant records and assist with other program coordination as required.
  • Maintain financial expenditure spreadsheet in line with approved budget in conjunction with the SQW Coordinator, produce statistical reports, monthly reports and progress/ performance reports as requested including updating funding body templates for submission.
  • Other duties as directed from time to time within your skills range and capacity.

Essential Criteria

  • Certificate III or higher in Office Administration or similar qualification, or willing to work towards.
  • Customer centric approach and the ability to work towards customer service standards, KPIs, and targets. Cultural understanding of CALD people and their barriers and support requirements.
  • Excellent communication skills, including over the phone, in person and online, with the ability to build rapport quickly.
  • High level administrative skills, including accuracy in typing, online record keeping, and navigating software and online systems.
  • Excellent time management and organisational skills.
  • The ability to show empathy to refugee and asylum seekers, potential participants, and customers.
  • High level professionalism and ability to maintain confidentiality.
  • Strong ethics, accountability, and integrity.
  • Aptitude for innovation and initiative.
  • Previous experience working in the Employment Services, Community Services or complementary sector/s and an understanding of working with refugees, or in long term employment.
